Developing and maintaining administrative and financial systems, including petty cash,expenses, annual leave etc
Managing and updating accounting system (Xero) to accurately reflect spending from different funding stream
Keep accurate and up to date account for expenditure.
Paying salaries and expenses
Overseeing Petty cash
Payment and raising of invoices
Dealing with HMRC payments
Give accurate financial reports of expenditure and forecast expenditure.
Monitor and report on the budget to the Development co-ordinator, team, Treasurer and/orTrustees and funders, as required
Preparing end of year accounts for audit
Be the main point of contact for our Accountant
Companies house and charities commission admin
Maintain up to date financial records and monitoring
Supporting the Development Coordinator and Trustees with any staff recruitment activities when necessary, including coordinating interviews and posting job adverts etc
Maintenance of staff files and overseeing the administration of the organisation's HR systems and processes and ensuring data retention best practice is adhered to for leavers
Delivering the organisation's DBS check process, ensuring staff DBS checks are up to date and that processes and policies are updated regularly
Coordinating and recording staff training requirements, activities and maintaining training records
Maintain oversight of the newsletter, website and social media
Any other general admin tasks as required
Tasks shared with the team:
Monitoring of grants /reports to funders
Pulling together the annual report
Health and Safety responsibilities
Reports to trustees
Research into new areas of work
Environmental awareness/latest thinking.
Write, or contribute to preparing, funding bids when required

To review and amend all relevant policies and procedures to make sure they are relevant and current
Admin for management meetings and annual general meeting
Person Specification:
Experience
Experience of using Xero accounting software to monitor spending from different sources
Experience of preparing cash flow forecasts & monitoring budgets & bank accounts.
Experience of developing and maintaining good financial and administrative records
Experience of working in an effective team, of both staff and volunteers
Experience of paid or unpaid work within a voluntary organisation.
Experience of project management/delivery.
Experience of monitoring and evaluation.
Skills
An ability and confidence in using various IT packages, in particular GDrive, Xero
Good organisational skills, and an ability to assimilate new working arrangements quickly
Excellent administration, record keeping, time management and prioritisation skills
Ability to maintain accurate financial and other administrative systems & to provide reports on these to others
Ability to initiate, plan and organise own workload and manage time using a system of recording designated hours.
Ability to deliver best practice in inclusion, equity, diversity and safeguarding
To be able to form good working relationships with colleagues and key stakeholders.
