Executive Assistant, Quantitative Science and Development Operations

About This Role
As an Executive Assistant for the QSDO Leadership Team, you will provide critical administrative support to two Executive Directors. Your responsibilities will include complex calendar management, large‑scale meeting coordination, travel arrangements, and confidential correspondence. You will foster effective communication across the organization, ensuring smooth operations and enabling leaders to focus on strategic goals.
Responsibilities
* Provide comprehensive administrative support, including calendar management and new hire onboarding with awareness of global time zones.
* Plan and facilitate functional meetings such as leadership sessions and quarterly Town Halls—setting agendas, coordinating logistics, and following up on action items.
* Create, compose, and edit written materials (minutes, newsletters) and support communication platforms like SharePoint and Teams.
* Handle confidential correspondence and maintain departmental document repositories and business systems.
* Coordinate large‑scale meeting logistics, secure venues, and arrange A/V support and catering.
* Manage domestic and international travel arrangements, monitor progress, and resolve issues promptly.
* Prepare expense reports, organize and maintain files.
* Build strong working relationships across the organization, ensuring clear communication and timely follow‑ups.
* Enhance business processes by implementing best‑practice templates.
* Provide ad‑hoc support to both Executive Directors and their Leadership Teams as required.
Qualifications
* Demonstrated track record in executive support roles with increasing responsibility.
* Associate’s degree or equivalent combination of education and experience (required).
* Excellent interpersonal, verbal, and writing skills.
* High proficiency with Microsoft Office 365 (Outlook, Word, PowerPoint, Excel, Teams, OneDrive, SharePoint).
* Ability to exercise sound judgment, prioritize tasks, and handle sensitive, confidential information.
* Efficiency and independence in a fast‑paced environment.
Preferred Skills
* Experience in Pharma/Biotech or regulated industries.
* Creative communication media skills.
* Cultural awareness supporting multi‑site, diverse, global teams.
