Fleet Administrator

Salary: Competitive

Location: This is a permanent role based at our office in Brynmenyn.

Facilities by ADF have an exciting opportunity for a Fleet Administrator to join the team.

The Role

We’re looking for a proactive and detail-driven Fleet Administrator to work with a small team based in our offices in Brynmenyn, South Wales. The role will also have responsibility for scheduling the brake testing process in our Main Operational Depot in Longcross, Surrey.

The ability to forge strong relationships across the different departments is key to this role.

Main Responsibilities:

1. Liaise with Account Manager & Planners to schedule Brake Testing protocols in line with the operator licence undertakings.
2. Updating of R2C workshop management system.
3. Arranging inspections/MOTs/IVA’s/Tacho Calibrations with external service providers.
4. Cross-referencing equipment on production against job sheets for Tacho calibration, service and MOTs, electrical certification certificates.
5. Update Hire Vehicle Spreadsheet & Issue Weekly Hire Report
6. Arranging hire vehicles as requested, including cars, vans, HGV’s.
7. Update in house BMS With Brake Test data.
8. Input into weekly reports and dashboards for compliance.
9. Requesting and issuing PO numbers for all work carried out and authorising invoices.
10. Generating and Running Fleet List
11. Liaising with Supply Base to ensure Brake Testing Schedules can be achieved
12. PO Query, Review & Resolution.
13. Any reasonable request by a member of the management.

ESSENTIAL REQUIREMENTS:

14. Excellent communications skills, verbal and written
15. Experience of working in a fast paced and dynamic environment
16. Knowledge of Microsoft Outlook, Excel, and Word.
17. Ability to work alone and within a team
18. Ability to multitask efficiently within a dynamic and fast paced transport environment

Desirable

19. Previous fleet administration experience
