The Role:
Joining our Education and Inclusion Therapies (E&I) Service as a highly organised and proactive Senior Administrative Assistant, you’ll support our busy, growing multidisciplinary therapy team that works directly with children and young people with special educational needs and disabilities (SEND).
As part of our administrative team in this rewarding role, you’ll help deliver an essential frontline service by providing high-quality, accurate and responsive administrative support, ensuring the smooth day-to-day running of the service while handling detailed and sensitive information appropriately, and with professionalism and care.
You’ll be part of a positive, supportive team culture where colleagues collaborate, share knowledge and support one another to deliver a high-quality service for children, young people and families.
What you’ll do:
1. Act as a first point of contact, handling enquiries from parents, schools, colleagues and external stakeholders via phone and email.
2. Manage shared inboxes and incoming correspondence, prioritising and ensuring relevant information is accurately shared with therapists and the wider team.
3. Process referrals, checking documentation and ensuring records are accurate and up to date.
4. Upload, scan and distribute reports and documentation to a high standard of accuracy and presentation.
5. Maintain and update records across systems (Office 365, SharePoint, Capita) in line with governance requirements.
6. Coordinate meetings, diaries and documentation, ensuring timely organisation and communication.
7. Provide flexible, high-quality administrative support to the Business Manager and wider team, including handling confidential sensitive and safeguarding-related information.
What we’re looking for:
8. A good standard of education, including GCSEs (or equivalent) in English and Maths at grade A–C / 9-4 and above, or relevant experience.
9. Strong written communication skills, with excellent attention to detail, grammar and presentation.
10. Good IT skills, including Microsoft 365 applications (Word, Excel, Outlook).
11. Strong organisational skills, with the ability to prioritise and meet deadlines in a fast-paced environment.
12. Ability to work independently using initiative while adhering to procedures and guidelines.
13. High levels of accuracy, attention to detail and commitment to confidentiality.
14. A team-focused approach, with the ability to support colleagues and collaborative working.
