We are seeking a proactive and detail-oriented Project Records Assistant to support a major records rationalisation project within our Heritage Department. Working closely with the College Archivist and colleagues in Governance, Risk & Compliance, you will appraise and document a significant backlog of institutional paper records held offsite—some dating back to the 1950s.

This is a unique opportunity to gain valuable experience in both archives and records management, including practical application of appraisal theory, spreadsheet documentation, and contribution to the College’s archive catalogue. The role will also involve collaboration across departments and some lone working and manual handling.

Ideal for early-career professionals in archives or records management, or those actively working toward a relevant qualification. We also welcome experienced applicants without formal training who can demonstrate significant expertise in modern records appraisal.

We’re looking for someone who is qualified in archives or records management—or has equivalent experience in handling modern business records.

You’ll need to be highly organised, detail-focused, and comfortable working independently. A good understanding of the records lifecycle and appraisal theory is essential, along with confidence in using Excel and working to deadlines. Familiarity with GDPR is also important.

Experience working in an archive or records management environment, especially with institutional records, cataloguing systems, or retention schedules, would be a bonus. So would knowledge of ISAD(G) and the ability to use your initiative while collaborating with colleagues across the organisation.

Interviews will take place on Monday 22nd September 2025. Candidates who have been shortlisted for interview will be contacted in the first instance by email.

The application is a tool for helping us to shortlist candidates for interview and as a basis for the interview itself. Any decision to shortlist you for interview will be based solely upon the information you supply on your application.

If you have any difficulty in completing the forms or require the forms in an alternative format, please contact the Recruitment Department by e-mail: recruitment@rcsed.ac.uk

The Royal College of Surgeons of Edinburgh is an equal opportunities employer. You are given the opportunity to express your needs by attaching a separate sheet to your application form or by contacting the HR Department on +44 (0) 131 527 1587 or by e-mail: recruitment@rcsed.ac.uk

The Equal Opportunities Monitoring form can be returned with your application. It will be retained within the HR Department and used solely for monitoring purposes; it will not be made available to the short-listing panel.
