The Personnel Coordinator is responsible for general crew management and welfare, with focus on safety, compliance, and high attention to detail.
Key Responsibilities
* Support communications between seafarers and the team, ensuring that all queries are managed and resolved in a timely manner.
* Support and participate in regular internal and client audits.
* Liaise with the Marine Personnel Specialist to ensure effective crew changes in line with client requirements.
* Manage and coordinate all office visits of our seafarers, including de-briefs and appraisals.
* Coordinate crew induction process for new joiners and offboarding process for leavers.
* Support the Marine Personnel Specialist and Personnel team with disciplinary matters, review of external manning agents, ensuring KPIs/SLAs are met, and manage regular meetings and updates.
* Support the management of the COMPAS crew database, ensuring accuracy, timeliness, and completeness, supporting updates as needed.
* Manage and coordinate payroll matters for seafarers, liaising with colleagues in global offices for prompt and accurate payments.
* Monitor and analyze training plans to ensure crews are competent and compliant with latest regulations and industry standards.
* Support communication and delivery regarding STCW standards.
* Maintain strong knowledge of ISM, STCW, and MLC requirements.
* Perform other crewing-related tasks as advised by Line Management.
Candidate Requirements
* Broad experience in marine crewing roles supporting a large pool of global seafarers.
* Experience managing first-line crewing demands and problem resolution.
* Customer service skills with a focus on client engagement and delivery.
* Experience with case management, investigations, grievances, and disciplinary processes involving seafarers.
* Excellent communication and interpersonal skills.
* Ability to manage multiple priorities and adapt to change.
* Strong organizational skills.
* Knowledge of maritime regulations and industry best practices.
* Understanding of offshore crewing practices and onboard casework management.
* In-depth knowledge of ISM, MLC, and STCW.
* Familiarity with crew management systems like COMPAS.
* Ability to work independently and in teams.
* Understanding of GDPR and ISO standards related to crew management.
* Proficiency in MS Office Suite.
* University Degree in HR, Business, or related field preferred.
* Previous experience in seagoing HR within a ship management company.
