Job Summary:
A medical administrator plays a crucial role in ensuring the smooth operation of the practice by handling administrative tasks, supporting medical staff, and providing excellent patient care. The position involves managing patient records, processing patient documents and liaising with patients.
Person Specification:
* Competencies – Strong IT skills and ability to manage data. An organised and flexible approach to work, with the ability to plan, prioritise and balance often conflicting demands. Good audio typing and copy typing speeds. The ability to work on own initiative and be self-motivated, with a 'can-do' attitude. A proactive and creative approach to problem-solving.
* Qualifications and training – Formal qualifications are not required. Familiarity with the EMIS Web patient management system is highly desirable, as is a good working knowledge of data protection. Previous training within healthcare or administration. A willingness and desire to learn is essential.
* Experience – Experience of administration, data management, and IT within a primary health environment would be a significant advantage but is not critical. As important is the ability to learn the necessary skills in these areas, with training provided.
* Organisational fit – A good team worker who believes in customer service. Takes personal responsibility to make themselves an amenable, compatible and effective team member.
* Special requirements – To be able to maintain strict confidentiality at all times.
* Organisational progression – The practice is committed to staff training and continuous professional development. The successful applicant will be prepared to identify training requirements, attend training sessions and put the learning into practice.
Duties and Responsibilities:
The duties and responsibilities to be undertaken by members of the medical administration team may include any or all of the items in the following list.
Duties may be varied from time to time under the direction of the Management team, dependent on current and evolving workload and staffing levels which includes but not limited to:
* Dealing with Subject Access Requests (SAR's) and facilitating full online viewing access to medical notes for patients.
* Manning the generic practice e-mail account on a rota basis, and actioning all incoming emails as requested.
* Providing administrative support for ordering of supplies
* Contributing to recall process for various chronic disease and other patient cohorts
* General administration duties
* A rotation of supporting reception
* Processing medical and confidential correspondence for the GP's with the ability to be conversant with medical terminology.
* Liaising directly with patients upon any matter relating to patient care as required
* Scanning on clinical and business documents and filing them in the correct system.
* Maintaining strict confidentiality at all times, on all matters relating to patients, GP's and other staff in accordance with current data protection legislation
* Provide cover for members of the medical administrator team during periods of sickness and annual leave.
