You’ll be an organised planner at heart with a want to know how and why things work the way they do. You’ll have had some hands-on experience within a similar Facilities Assistant/ Coordinator role and have a passion for building great relationships with both internal and external colleagues. This is a people-centric role and key to the wellbeing and safety of all employees making use of our hubs across the UK to ensure we are providing a safe, compliant and welcoming environment that we can all be proud of.
You’ll also have:
1. Experience in a similar Facilities Coordinator/Assistant role
2. Experience of and training around IOSH managing safely, fire awareness, first aid, legionella awareness and other legal compliance requirements - Fire Marshall and First Aider trained
3. Knowledge of IWFM and willingness to work towards Level 4 Qualification with training support
4. Excellent organisational skills
5. Interpersonal skills and the ability to build relationships
6. An exceptional eye for detail and a proactive, can-do attitude
7. A strong sense of ownership and pride in the environments you help maintain
8. Good general maintenance skills
9. Basic working knowledge of Health and Safety
10. Intermediate IT skills, including the ability to use Microsoft Outlook, Word and Excel, Netsuite, GDrive
11. Clean UK driving licence

Due to our continued growth, we are looking for a friendly, hardworking and practical individual to take on a Facilities Coordinator position. In this role you will lead the day to day running of our hubs across Colindale, Farringdon, Alton and Selkirk to ensure our employees have the best experience and environment when working. Ensuring consistency, safety, and efficiency across all locations. Working with an established team, you will have a diverse area of responsibilities, incorporating not just the generic Facilities Management duties, but meaningful input on projects and real opportunities for personal and professional growth within the FM industry.
We deliver progress. What you’ll do and how you will make an impact…
1. Maintaining health & safety through updating and maintaining policies, risk assessments audits
2. Supervising and coordinating maintenance, repair, and refurbishment activities for our hubs across Colindale, Farringdon and Selkirk
3. Regularly inspecting facilities to identify maintenance needs, safety hazards, and compliance issues
4. Collaborating with line manager to understand space requirements and allocate workspace accordingly
5. Stock control, including the order and delivery of stationery and equipment for Colindale, Farringdon, Alton and Selkirk
6. Maintaining accurate records of space allocations, floor plans, and occupancy data for Farringdon, Alton and Selkirk
7. Enforcing health and safety policies and procedures to maintain a secure and compliant environment
8. Identifying opportunities and staying informed about industry best practices for recycling and sustainability practices.
9. Identifying cost-saving opportunities and recommending efficiency improvements.
10. Raising Purchase orders, reviewing invoices, track expenditures, and ensure timely payment to vendors for Farringdon, Alton and Selkirk
11. Managing and assisting onsite contractors, ensuring adherence to company standards, schedules, and safety procedures
12. Supporting project delivery and playing an active role in continuous improvement initiatives
13. Providing ad hoc support where required at our other sites.
