Offer description

26.25 Regular weekly hours to include 4 afternoon shifts until 6.30pm Mon to Friday plus one morning a week plus relief cover for four other team members.

A vacancy has arisen for a part-time Receptionist to join our busy and friendly GP practice team. We are looking for someone who is friendly and patient with good interpersonal skills. The ideal candidate should have previous GP receptionist experience, good organisational skills with the ability to multitask and prioritise workload. IT skills are essential preferably with previous scanning and coding. It is also essential applicants have a flexible approach to work and working hours as relief cover for 4 other team members both early morning and afternoon/evening is included in the role.

About us

We are a 5500 patient practice and have 3 GP's, 3 nurses, an admin team of 3 people, reception team, Assistant Practice Manager and Practice Manager and a team of regular locums. We have a very loyal team of staff with vacancies only usually arising upon retirement or a new post being created. This one is arising due to a staff members change in circumstances.


Job responsibilities

* Answer all incoming telephone calls and divert as appropriate.
* Deal with telephone queries efficiently and confidentially and act as liaison with doctors as necessary.
* Liaise with hospital on behalf of GPs or patients.
* Make appointments via the computer system either on the day or in advance.
* Greet patients at reception, note arrival and handle queries.
* Scan and code medical information as necessary.
* Manage the flow of patients at the desk and in the waiting room.
* Process prescription requests, pass onto doctors for signing and file for collection within 48 hours.
* Check Withnell Health Centre email for prescription requests and deal as appropriate.
* Prepare doctor surgeries / close down doctor surgeries.
* Take samples at reception desk and complete pathology forms if necessary.
* Open building first thing in the morning including unlocking internal doors, switching on all computers.
* File correspondence to patient records when necessary.
* Register new patients onto EMIS system using SMART card to connect to spine.
* Action any workflow tasks on EMIS Web.
* Telephone patients regarding results.
* Send letters to patients as necessary and call for checks up or inform them when unable to contact by telephone.
* Photocopy notes and other information.
* Email information when authorised to do so i.e. medication information to hospital.
* Change details on notes, e.g. change of address.
* Record and inform others about RIP patients.
* Ensure clinical staff receive medical records as requested.
* Order items when necessary, e.g. path lab forms, urine pots.


Person Specification


Qualifications

* GCSE Grade 4 or above or A to C in English and Maths
* Previous reception/customer care experience


Experience

* Basic computer use
* Experience in a Health Care Setting – preferable admin/reception
* Ability to work without direct supervision
* Ability to work well in a team
* Ability to cover extra hours
* Experience in a GP reception role
* Experience of handling confidential records
* Previous experience of using EMIS web software
* Understanding of medical terminology
