Job Overview

We are an established electrical and mechanical contracting company working within the water industry, seeking a motivated and organised Accounts / Administration Assistant to join our team. The successful candidate will support our finance and administration functions, ensuring smooth day-to-day operations. Key responsibilities will include processing employee timesheets, handling supplier invoices and delivery notes, booking accommodation for site teams, and dealing with general administrative queries.

This role would suit someone with excellent attention to detail, strong communication skills, and some experience in purchase ledger or accounts support within a contracting or engineering environment.



Key Responsibilities



Accounts and Finance Support

* Process weekly timesheets on job costing software from project managers and site staff, ensuring accuracy of hours, cost codes, and project allocations.
* Match and code supplier invoices and delivery notes against purchase orders.
* Entering supplier invoices on job costing software to relevant project.
* Maintain accurate financial records and support the finance team with month-end tasks where required.

Administrative and Operational Support

* Book accommodation and travel arrangements for employees working on-site across the UK.
* Assist with booking training courses for employees
* Support the team with maintaining up-to-date training, compliance, and health & safety documentation as required
* Provide general administrative support to the operations and management teams as needed.



Skills and Experience Required

* Previous experience in an administration or accounts support role (experience in the construction or engineering sector preferred).
* Knowledge of purchase ledger processes and invoice management would be helpful
* Strong organisational skills with the ability to manage multiple tasks and deadlines.
* Excellent attention to detail and data accuracy.
* Proficient in Microsoft Office (Excel, Word, Outlook). Training on industry specific software will be given.
* Strong communication and interpersonal skills for dealing with suppliers, site staff, and internal teams.
