What you will do


Donor Cultivation and Stewardship

* Support the Head of Individual Giving & Collection Development in delivering first-class stewardship of the International Council, including by implementing systems to ensure all members have regular, personalised contact with Tate.
* Act as a first point of contact for International Council members, answering phone calls and emails in a timely and appropriate manner.
* Oversee the delivery of the International Council's annual membership renewals; coordinate all renewals and acknowledgement correspondence, and track progress in securing donations with the support of the International Council & Patrons Administrator.
* Assist in the planning and delivery of International Council events, activities, travel programmes and meetings, working closely with the Engagement and Events team.
* Support the effective management of the International Council Advisory Board by generating meeting agendas, drafting and circulating papers, setting up meetings and taking minutes when requested.
* Arrange ad-hoc site visits, meetings, lunches, etc for individual International Council members with Tate senior staff.
* Provide well‑researched donor intelligence to relevant stakeholders before, during and after Tate events and meetings, ensuring feedback is accurately recorded within Tate's systems.
* Attend International Council events, donor visits and out-of-hours Tate events as reasonably required.


Communications

* Source and coordinate information for fundraising proposals sent to individual International Council members.
* Administer group-wide communications to the International Council, including a regular newsletter and a biannual Directory and Report, ensuring they are accurate, compelling and up-to-date in keeping with Tate style guidelines.
* Research images and copyright permissions and credit lines for use in campaigns, newsletters and website pages.


Internal Relationships

* Build and maintain strong working relationships with colleagues across Development and elsewhere across Tate, as well as at the Tate Americas Foundation, to support the objectives of the International Council and ensure productive cross‑team liaison.


Operations

* Manage overall administration of the International Council with the support of the International Council & Patrons Administrator.
* Track the financial performance of the International Council, monitoring and reporting on income against target, overseeing payments and logging financial transactions, and recording team expenditure.
* Support recruitment of new International Council members, using Tate’s research and prospect tracking systems and ensuring accurate recording of data.
* Log donor information on the Development Office database (Raiser’s Edge) and other Tate-wide databases, updating contact information, logging pledges, prospect and donor tracking, and noting meetings and correspondence.
* Ensure Director-level correspondence is reviewed and sent in a timely manner.
* Liaise directly with the Development Operations Team to ensure stewardship procedures operate effectively and that data is captured.
* Liaise with the Engagement and Events Team to ensure effective event nominations and assist with preparation of mailing lists and event guest lists.

* Demonstrable administrative, organisational and planning skills gained in an environment where strong relationship management and excellent customer service is essential.
* Clear written and verbal communication skills.
* Excellent interpersonal and presentation skills, with the ability to liaise effectively, diplomatically and sensitively with people at all levels, both internally and externally, and with individuals from a variety of cultures and backgrounds.
* Proactive and self‑motivated with excellent time management skills, juggling competing priorities while meeting multiple deadlines.
* Ability to work calmly under pressure in a fast‑paced environment.
* Ability to deal with confidential information with absolute discretion.
* Excellent attention to detail, especially when tracking financial information.
* A team player with the ability to adapt to different working styles and collaborate positively and creatively with colleagues to achieve shared goals.
* Excellent computer literacy, including knowledge of Windows-based applications such as Word, Excel, Outlook and PowerPoint.
* Experience using Customer Relationship Management (CRM) databases to record and manage supporter data and ensuring best use of CRM systems.
* Champion principles of diversity and inclusion, applying and promoting them in everything you do at work.
* An interest in and commitment to the work of Tate.
