Responsibilities: Assist in the implementation and management of the IFM program, ensuring that all facilities are maintained in compliance with applicable laws and regulations. Coordinate with service contractors and vendors to ensure the timely completion of maintenance, repairs, and other facility-related tasks. Monitor and track work orders generated from building occupant requests, prioritize them based on urgency, and ensure timely completion. Conduct regular property inspections, documenting any repair or maintenance requirements, and reporting them to the appropriate stakeholders. Assist in the management of leased facilities, including interface with landlords or their representatives to ensure lease-based requirements are met. Support the development and implementation of preventive maintenance programs, including equipment maintenance history tracking and reporting. Manage the procurement of materials and suppliers associated with the defined range of services, negotiating service levels, cost, and response times. Assist in the development and management of annual budgets for facility operations, repair, and maintenance activities. Collaborate with the Facilities Accounting team to ensure proper recording and reporting of financial data related to facilities. Maintain a robust communication process with facility occupants, ensuring that important information is effectively communicated. Assist in emergency situations by promptly notifying the necessary stakeholders, making appropriate expenditures for repairs, and coordinating with emergency response teams as needed. Provide general support for facility-related projects and initiatives as directed by the Facilities Manager. Requirements: Proven experience in facilities or property management, preferably in an integrated facilities management setting. Familiarity with relevant legal requirements, codes, and regulations governing facility operations. Strong communication and interpersonal skills, with the ability to effectively interact with stakeholders at all levels. Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines. Proficiency in using computerised maintenance management systems (CMMS) and other facility management software. Knowledge of budgeting and financial management principles within a facilities context. Ability to work independently and as part of a team, taking initiative and demonstrating problem-solving skills.
