Run by ex-tilers, Pro Tiler Tools (PTT) serves professional tradespeople in the tiling industry, whilst also catering for pavers, landscapers, bathroom fitters, plumbers, builders and DIY enthusiasts. Industry-renowned for stocking an extensive range of tiling essentials at fantastic trade prices, PTT specialises in providing unbiased advice, ensuring customers purchase the right tiling tools and materials for the job. With an unmatched product offering from industry-leading brands, at a variety of price points, the website provides customers with an easy-to-navigate, hassle free shopping experience. With a brand new Distribution Centre in Northampton, Pro Tiler are looking for an Accounts Administrator.

PURPOSE:

Responsible for reviewing and reconciling purchase ledger accounts, inputting invoices, resolving queries (internal and external) and processing payments to external suppliers. Support the wider finance team including assisting with sales ledger, general ledgers and ad-hoc requests. Previous purchase ledger (including foreign suppliers and VAT/Duty experience is essential.

KEY ACCOUNTABILITIES

STRATEGY/ PLAN:

•Ensure that the purchase ledger is maintained to a high level. This includes the set-up of new accounts, supplier account maintenance, prompt resolution of queries and ensuring that payments are made within terms. This will include resolving delivery or account issues.

•Liaising with suppliers, warehouse team and the procurement team on invoices, deliveries and account queries in a professional manner and resolving where possible.

•Working closely and collectively within the finance team, providing support when and where needed.

PEOPLE/ LEADERSHIP:

•Maintaining strong working relationships with all departments of the business especially procurement and warehouse.

•Maintaining and building on relationships with suppliers.

•Working well within the finance team at Pro Tiler Tools as well as the wider Topps Group.

•Managing day to day communications with the management team.

FINANCIAL/ COMMERCIALS:

•Processing of supplier invoices ensuring costs and quantities are verified to purchase orders / delivery notes.

•Seeking approval of non-stock invoices and processing to correct nominal ledger codes.

•Making sure that all deliveries sent directly from the supplier to customer are correct.

•Notifying the supplier of any damages, pricing issues or missing items on a timely manner (working closely with Procurement).

•Reconciling all supplier statements monthly, ensuring that payments are made within agreed terms. Making sure missing invoices are received and documented before the ledgers are closed for the period.

•Prepare routine weekly and monthly payment runs.

•Process foreign invoices (in currency) and prepare foreign payment schedule (including future payments)

•Prepare the quarterly VAT return and maintain detail import duty reconciliations (including duty deferment accounts)

•Initiate and implement procedural changes for continuous improvement (key focus)

•Work with strict month end timetables for group reporting.

•Provide cover within the finance team during busy periods and may include some aspects (and not limited too) sales ledger, purchases ledger, general ledger, cash and bank reconciliation, foreign invoices, compliance and audit and ad-hoc finance tasks as per business / departmental needs.

•Collaborate freely with all departments within the organisation to align operational goals with overall organisational objectives

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED

ESSENTIAL

•Strong purchase ledger control process and dealing with suppliers

•Excellent organisational, time-management and decision-making skills

•Great attention to detail

•Advanced knowledge of Microsoft Office programs including Excel and Outlook

•Strong verbal and written communication skills

•Problem solving skills

•Good numerical and analytical skills

DESIRABLE

•Knowledge of the industry

•Knowledge of financial systems
