Overview

Job title: Training and Events Administrator

Role: To provide comprehensive support for both training and events functions, ensuring the smooth coordination of training courses run by de Smit Medical and exhibitions that we attend as a company.

Reporting to: Training & Quality Manager

Location: Based in South Gloucestershire, de Smit Medical is a distributor of medical equipment to NHS, private healthcare, and commercial organisations. We distribute innovative and market-leading medical devices and consumables in the fields of urology and anorectal assessment and therapy. Our customers are supported by our Learning Academy through a range of technical and clinical training courses.

Summary: Our company has an exciting opportunity for a detail-focused and highly organised Training and Events Administrator to join our team. The ideal candidate will have a strong background in administration and be confident in supporting the training and marketing department's needs. The role focuses on working independently and collaboratively to facilitate the administration and organisation related to the company’s training and exhibition activities. A strong attention to detail and the ability to multitask are essential.


Key Responsibilities

Training

* Collaborate with the training department team to administrate our training courses.
* Respond to enquiries about training.
* Administer the booking of on-site and in-house training.
* Manage the room schedule and preparation.
* Place orders for food for in-house courses.
* Send out pre-training information to course participants.
* Maintain the filing system and use the database to input training data, generate certificates, and track past training.
* Address any ad hoc issues related to training in a conscientious manner.
* Submit materials to CPD and City & Guilds for accreditation purposes.

Events

* Collaborate with Sales & Marketing to deliver the company’s exhibition calendar.
* Referring to the Exhibition Schedule, coordinate bookings, accommodation and stand materials, and maintain the filing system.
* With Finance, request purchase orders and manage invoices. Keep records of spending.
* With support from the Marketing & Communications Manager, submit all materials requested by event organisers.
* Liaise with the Warehouse Manager to confirm logistics.
* Communicate with external suppliers and event organisers.
* With the Marketing & Communications Manager, troubleshoot ad hoc events-related issues.
* Coordinate post-event activities, including lead distribution and feedback collection.


Lines of Communication

* Regular communication with the Training & Quality Manager
* Collaboration with the Marketing & Communications Manager
* One-to-ones and appraisals will be carried out by the Training & Quality Manager, with input from the Marketing & Communications Manager.


Required skills

* Ability to commute to our offices (we are based in a rural location).
* Two years’ experience minimum in a similar role.
* Excellent organisational and time management, with a focus on meeting deadlines.
* Strong communication and interpersonal skills.
* Proficiencies in Microsoft Office Suite, with the ability to learn new systems.
* Attention to detail, with initiative and problem-solving capabilities.
* Ability to work independently and as part of a small team.
