Job Overview
A busy, supportive medical practice based in East Kilbride is looking to appoint an enthusiastic, friendly and motivated Modern Apprentice in a Medical Administrator role. The Surgery is seeking a dynamic, dedicated and enthusiastic individual to engage in a modern apprenticeship with a view to permanent employment thereafter dependent upon successful completion of the course and probationary period.
Please note that this position is for an initial 24 month contract with the potential for a permanent role for the right candidate with ongoing career development thereafter. During this initial 24 months, you will work towards two qualifications; first, a Business and Administration SVQ and then you will use your knowledge from this and apply your skills to work towards a Diploma in Customer Service.
The job role will involve customer service through reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and providing a high level of customer service for patients as required as well as liaising with staff and external agencies. The post involves administration using bespoke software and Microsoft applications as well as interacting with patients and other healthcare professionals in primary and secondary care.
Responsibilities and Duties
* Engaging with patients and visitors face‑to‑face on reception desk
* Answering incoming phone calls, transferring calls or dealing with the caller’s request appropriately by delivering quality customer service
* Using electronic media
* Processing requests for appointments and prescription requests
* Effectively signposting patients to the appropriate healthcare professional depending on the presenting condition
* Initiating contact with and responding to requests from patients, team members and external agencies
* Administration of patient records
* Working as part of a busy and supportive team
* Inputting data into the patient’s healthcare records as necessary
* Managing all queries as necessary in an efficient manner
* Carrying out system searches as requested
* Maintaining a clean, tidy, effective working area at all times
* Supporting all clinical staff with general tasks as requested
* Monitoring of stationery supplies
* Contribute ideas and suggestions to the smooth running of the reception and administrative functions
Desired Skills and Qualities
* At least 2 relevant qualifications at SCQF Level 5 (e.g. National 5/Intermediate 2/Standard Grades at credit) or a group of relevant Units at SCQF level 4/5.
* Applicants should have English/Communication and Maths at SCQF level 5.
* Good communication and interpersonal skills are important.
* Previous customer service experience is desirable but a good understanding of the importance of good customer service is key.
* You should be willing to learn and work hard.
* Ability to work well as part of a team and learn from others.
* Be able to use your initiative to work towards common values and goals of providing the best care for patients.
* Time management is crucial – you will be part of a busy GP Practice team and will have to manage your time between your duties and working towards your two qualifications.
* Ability to maintain confidentiality when working with sensitive information.
* A clean, tidy and business‑like appearance (a uniform will be provided).
* Be calm and resilient when under pressure.
* A commitment to continued professional self‑development with an understanding that integrity + effort + common sense = achievement.

* Able to collaborate and MUST be a team player.
* Able to demonstrate energy and enthusiasm in supporting the core objective of the business i.e. patient care.
* Able to follow through on undertakings and ensure completion of tasks – being thorough and meticulous.
* Able to work within a given protocol and after training, be able to make considered judgments when to deviate from that protocol.
