The project: Provides project coordination and administrative support to project teams. Responsible for supporting (area/team), using basic/established technical capabilities and project methodology. You'll also be responsible for: Financial Administration Updating financial systems (Oracle) and reports on behalf of the Project Manager Monitoring the status of live services and projects. Supporting the reporting of client Key Performance Indicators and Management Information. Collating information required to process Applications for Payment and Invoices. Tracking approvals of Applications for Payment and Invoices to ensure prompt payment. Commercial Administration Supporting the Project Manager in arranging sub-consultant Pre-Qualification and contractual arrangements. Tracking and recording contractual change. Raising, amending and receipting Purchase Orders within financial systems (Oracle). Ensuring NDAs are in place as required. Supporting the team in relation to coordinating bids, tenders and client proposals. Business Administration Monitoring compliance of competence management framework. Tracking compliance with Mace mandatory training modules. Arranging training in line with team members' development plans. Input to and review of quality documentation. Supporting the on and off-boarding of resources to projects including IT equipment. Coordinating security clearances for Mace staff as required by client. Ensuring project documentation is controlled and recorded in line with Mace document control policy. Coordinating communications within and across teams in Resilience You'll need to have: Experience coordinating projects Good communication and stakeholder management You'll also have: Experience in delivering similar role within a fast-paced construction or consultancy environment. Proven computer literacy, with the ability to use Microsoft 365 applications to a high standard (e.g. Excel PivotTables, lookups, etc.).
