Overview

To ensure the provision of a comprehensive administrative / secretarial service to the Care Group Senior Management Triumvirate prioritising workload and forward planning as necessary.


Responsibilities

* Production of confidential correspondence, reports, presentations, minutes and agenda, etc. which may emanate from written drafts or be self-drafted, using Microsoft Word, Excel and PowerPoint.
* Create databases and spreadsheets as required. Ensure copying and distribution of relevant documentation is undertaken in a timely manner.
* Oversee the receipt and recording of incoming correspondence and emails, identify urgent matters and bring them to the attention of relevant managers. Draft responses to correspondence as required and action responses to routine mail - distributing information to managers and departments as appropriate.
* Arrange, attend and minute both formal and informal meetings as requested by the Care Group Senior Management Triumvirate.
* Maintain and develop department filing, archiving and records systems. Devise procedures to cover administration processes. Ensure effective use of the department "bring forward/reminder" system.
* Use information systems to monitor the mandatory and statutory training requirements of the department and record staff absences.
* Act as first point of contact for the Care Group Senior Management Triumvirate; assess appropriate referral / action in the absence of senior colleagues.


Qualifications / Experience

The successful applicant will provide a comprehensive and highly confidential personal assistant service to the Doncaster Adult Mental Health & Learning Disabilities Care Group Senior Leadership Team. The role includes robust management of extremely busy and conflicting diaries with a requirement to monitor, respond and escalate e-mails appropriately. Experience in the ability to produce excellent written minutes is mandatory. A requirement to proactively respond to ESR and performance reports is required. You will be involved in supporting the delivery of high-quality identified projects and specified business functions. You will need to be flexible and proactive, able to respond and adapt to the varying demands and circumstances of a busy Senior Leadership Team. Resilience is important, as is the ability to plan and organise workloads in response to diverse and competing priorities. A key function is to create and maintain effective working relationships at all levels, both internally and externally; enhanced written and verbal communication skills are essential.
