Location: Gibraltar. Department: Supply & Trading.
Responsibilities
* Closely coordinating with counterparties including shipping agents, cargo suppliers/customers, surveyors, and cargo traders to manage operations.
* Provide notice of potential issues to trading teams and proactively seek solutions.
* Stay current with relevant industry news.
* Ensure local customs procedures are fulfilled.
* Proactively chase for vessel ETAs, cargo documents, invoices, and other relevant documentation from all parties involved in the operation.
* Advise on port dues, calling costs and other related costs at the point of quoting, and ensure accurate invoicing.
* Ensure Bunker Delivery Notes, invoices, and other documentation are promptly actioned, checked and verified.
* Organise a supply schedule for relevant regions to supply product safely and promptly, mitigating bunker delays where possible.
* Provide timely updates of vessels to be supplied to all parties involved.
* Minimise barge idle time by coordinating with supply traders to manage optimal timing for volume fixes.
* Utilise reactive reports to assist the supply team in mapping demand and supporting sales.
* Keep all parties informed when product availability is near exhaustion or when segregation/ullage is required, and manage barge ullages during low availability.
* Organise and monitor daily terminal/loading operations.
* Support local and worldwide traders within the company.
* Ensure correct and timely updates in the trading application (PTA) for all operations.
* Adhere to procedures, processes and policies regarding usage of company information systems, including CRM, trips, trading platform, expenses and leads.
* Problem solve and adapt to an intricate supply schedule with uncontrollable variables affecting barge availability.
* Coordinate with fleet management, shipping ops, Finance, system teams, and other departments for daily operations.
* Knowledge of technical & maritime matters, SIRE & oil majors approvals for barges in collaboration with Fleet Department Management.
* Manage barge supply schedules around mandatory surveys, maintenance, and repairs to minimise impact on supply schedules.
* Coordinate with ship brokers for FOB cargo position.
* Proactively build relationships with external and internal stakeholders.
Knowledge, Skills and Experience
Essential:
* Business level of English language
* High level of computer literacy including MS Office and CRM systems
* Confident with excellent verbal and written communication, persuasive and influential, able to think on your feet
* Attention to detail and ability to listen and respond to supplier/customer queries and solve problems
* High commercial acumen with analytical and strategic thinking within a wider business context
* Ability to work collaboratively in a team or independently with minimal supervision
* Ambitious, self-motivated, and committed to ongoing personal development
* Knowledge of ships’ particulars and cargo plans
* Knowledge of INCOTERMS and cargo contracts
* Knowledge of port logistics and maritime commerce
Desirable:
* Knowledge of Spanish is desirable
