Key Responsibilities:
* Provide high-level administrative support to the Development Manager.
* Maintain company policies and ensure consistent quality work.
Main Duties:
* Prioritize work to meet deadlines and targets.
* Coordinate basic works, dealing with contractors and estate staff.
* Draft correspondence with good written grammar.
* Handle resident enquiries and escalate when necessary.
* Update and facilitate the sale of fobs and remotes; program as required.
* Liaise with contractors on site and manage key handling, including follow-ups.
* Maintain and update estate databases, including Welcome packs, Purchase Orders, and software systems.
* Manage estate purchase ordering system (currently MRI Qube), including placing POs.
* Send electronic Welcome packs to new tenants and follow up on non-receipts.
* Communicate with parking companies and handle related correspondence.
* Take water meter readings upon resident requests and monthly estate readings.
* Manage fingerprint clock-in system and invoices related to attendance.
* Handle telephone and email enquiries, providing updates to the team.
* Greet clients, residents, and contractors as needed.
* Handle written correspondence on behalf of the team.
* Maintain electronic filing systems.
* Liaise with Development Manager, estate agents, lessees, tenants, surveyors, and Barratt personnel.
* Check estate internal postboxes regularly.
* Send monthly newsletters and updates to residents and lessees.
* Assist with estate management tasks as directed.
* Perform other office-related tasks as required.
* Work within the Landlord & Tenant Act and budget constraints.
* Proactively solve problems and suggest improvements.
* Produce reports as directed, such as gym usage and data collations.
* Manage stock and order supplies as needed.
