Job Title: Systems & Compliance Manager
Report to: Technical Director
Delegating to: Managing Director
Location: Wigan
Job Purpose:
We are seeking a highly organized, detail-oriented, and proactive Systems & Compliance Manager to join our growing team. This role will be pivotal in managing the company’s QMS document control processes, ISO 9001 and technical accreditations, compliance systems, and overall process compliance for our MEP projects. The ideal candidate will have experience in ISO management, compliance with building safety regulations, and an understanding of the Golden Thread and Building Safety Act requirements.
Additionally, the role will oversee the creation and submission of the O&M (Operations and Maintenance) manual and manage technical submissions.
Key Responsibilities:
Document Control & Management:
* Implement and oversee the QMS document control system to ensure efficient management and tracking of project documentation.
* Maintain document registers and ensure that all documents are version-controlled and stored securely.
* Ensure the proper formatting, indexing, and distribution of documents to all relevant stakeholders in compliance with company requirements.
* Ensure compliance with all GDPR and other data protection requirements when handling sensitive documents.
ISO9001 Quality Management:
* Manage the implementation, maintenance, and continuous improvement of the company’s ISO 9001 Quality Management System.
* Conduct internal audits, inspections, and assessments to ensure processes comply with ISO 9001 standards.
* Prepare for and facilitate external audits, managing the corrective and preventive actions required.
* Ensure all departments are fully aligned with the quality management framework, improving operational efficiency and quality control.
Accreditation Management (NICEIC, Gas Safe, BAFE):
* Manage the company’s NICEIC, Gas Safe, and BAFE accreditations, ensuring that all necessary documentation, compliance, and procedures are in place for renewal and reporting.
* Liaise with the relevant bodies to ensure the business remains fully accredited and compliant with all industry standards.
* Maintain up-to-date records of certification, training, and competency for all staff members required to hold these accreditations.
Golden Thread & Building Safety Act Compliance:
* Ensure the company’s systems, processes, and procedures comply with the Golden Thread and Building Safety Act requirements for the construction and management of high-rise and complex buildings.
* Coordinate with key stakeholders to ensure accurate documentation, including design, safety, and construction records, are maintained and accessible throughout the lifecycle of a building.
* Maintain compliance with all relevant safety and building regulations, ensuring that safety-critical documentation is up-to-date and readily available for inspection.
O&M Management (Operations & Maintenance):
* Oversee the preparation, organization, and distribution of O&M manuals for clients, ensuring they are accurate, complete, and compliant with project specifications.
* Ensure all necessary operational and maintenance information is provided to the client on project handover.
* Maintain the O&M system, ensuring the documents are properly managed and archived for future reference and updates.
Technical Submissions:
* Manage and track equipment and material technical submissions for clients, including design documents, compliance reports, and any other technical documentation required.
* Coordinate with project teams to ensure all technical documentation is accurate and submitted on time.
* Ensure that all technical submissions align with client specifications, industry standards, and regulatory requirements.
Compliance and Risk Management:
* Develop and maintain compliance reports for internal tracking and external submission to regulatory bodies or clients.
* Conduct regular compliance reviews and audits to identify potential risks and implement corrective actions.
Key Skills and Competencies:
Proven experience in document control, compliance management, and quality assurance within an MEP or construction environment.
Strong knowledge of ISO 9001, Golden Thread principles, Building Safety Act regulations, and industry accreditations (NICEIC, Gas Safe, BAFE).
Experience in managing the creation of O&M documentation and technical submissions for clients.
Organizational skills with a keen eye for detail and the ability to handle multiple tasks simultaneously.
Strong communication skills with the ability to interact effectively with internal teams, clients, and regulatory bodies.
Proficiency in document management systems, Microsoft Office Suite (Word, Excel, PowerPoint), and project management software.
Familiarity with relevant health and safety regulations and best practices in the construction industry.
Qualifications and Experience ( but not essential):
Degree or relevant qualification in a related field (e.g., Construction Management, Engineering, or Business).
Certifications or training in ISO 9001, Health & Safety or Building Safety.
Previous experience in a similar role within the MEP, construction, or facilities management sector is highly .
