Site Access Coordinator

Are you highly organised, emotionally intelligent, and great at keeping lots of moving parts aligned? Do you thrive on communication, relationship-building, and calmly solving problems when plans change?
We’re looking for a Site Access Coordinator who brings clarity, care, and confidence to a fast-paced operational environment. This role is all about enabling others, ensuring our operational teams can access sites on time, safely, and in full compliance across Planned Preventative Maintenance (PPM) and Emergency Works (EW) programmes.
The Heart of the Role
As Site Access Coordinator, you’ll be the friendly but capable connector between Field Teams, Operations, contractors, and clients. You’ll manage access permits, navigate challenges with professionalism and empathy, and keep everyone informed every step of the way.
You’ll provide essential day-to-day support to the Site Access Manager while helping deliver seamless Grounds and Winter Maintenance services.
What You’ll Be Doing
1. Access & Permits: Coordinate confirmed site access dates, raise and manage permits, and maintain an accurate schedule of all pending and approved permits.
2. Client Liaison & Issue Resolution: Act as the first point of contact for access challenges, liaise with clients to resolve restrictions or delays, and escalate complex issues as needed.
3. Tracking & Reporting: Log all access issues, follow them through to resolution, and provide updates highlighting trends, risks, or recurring issues.
4. Stakeholder Communication: Keep teams informed when services are paused or resumed, and build strong working relationships internally and externally.
5. Compliance & Continuous Improvement: Maintain accurate records, ensure processes meet client protocols and safety standards, and suggest practical improvements.

12. Familiarity with Ground Control systems or similar platforms
