The role
The Executive Assistant will act as a trusted partner to the COO & a Department Director, ensuring seamless management of communications, governance activity and operational priorities. The role demands proactive decision-making, rigorous organisation and the confidence to engage with senior stakeholders internally and externally.
Executive & Communications Management
* Manage a high volume inbox, exercising judgement to prioritise, respond and escalate as appropriate.
* Act on behalf of the COO where required, ensuring timely and considered communication.
* Liaise with senior stakeholders to gather updates and support informed responses.
Diary & Board Coordination
* Oversee a complex and fluid calendar, balancing business priorities and preparation time.
* Coordinate internal and external meetings, including Board and Committee activity.
* Prepare comprehensive briefing packs, agendas and supporting documentation.
* Resolve diary conflicts efficiently and ensure the Directors are fully briefed ahead of all engagements.
* Attend high-level meetings where required to provide on-the-day support.
Travel & Logistics
* Arrange domestic and international travel, providing detailed itineraries and contingency planning.
Documentation & Governance
* Prepare and refine presentations, memoranda, reports and Board materials to an executive standard.
* Maintain oversight of confidential documents, ensuring secure handling and organisation.
Leadership & Office Oversight
* Line manage the Office Manager/Receptionist, providing clear direction and support.
* Oversee Facilities, Office Management and Front of House operations, ensuring a professional environment aligned to corporate standards.
* Coordinate reception cover and support key meetings as required.
Events & Personal Coordination
* Plan and deliver corporate events.
* Support personal diary coordination where necessary to ensure seamless integration with business commitments.
Experience required
* Excellent organisational skills.
* Exceptional communication and interpersonal skills, with an open and welcoming disposition to build and maintain effective working relationships, with both internal and external stakeholders.
* Advanced proficiency in Microsoft Office.
* Excellent attention to detail.
* High professional integrity.
* Proven ability to manage multiple priorities in a busy environment.

* Handle commercially sensitive information and personnel information with discretion.

The standard default full-time working hours in the office are 8am-5pm with core working hours 9am-4pm.
