Role Overview
This role offers an exciting opportunity to coordinate and improve the planning, delivery, and documentation of FYF’s programmes and events. You’ll play a central role in day-to-day project coordination, while also supporting systems development, documentation, policy alignment, and funder compliance.
We’re looking for someone detail-oriented, proactive and organised — who thrives on creating smooth processes, managing documents and ensuring things are delivered to a high standard. You will work closely with the Director and delivery team to ensure all training and events run smoothly, while aligning with funder (e.g. GLA, WAES) requirements.
Key ResponsibilitiesProject and Programme Coordination
* Coordinate and oversee delivery timelines, partner bookings, and internal task lists for all FYF programmes and events.
* Manage logistics including onboarding materials, schedules, registers, and booking forms.
* Track delivery milestones and follow up with partners, staff, and venues as needed.
* Maintain live trackers and task management tools (e.g. Google Workspace, Trello, Airtable) to monitor activity.
Administrative & Operational Support
* Lead on high-level administrative organisation including shared drive management, folder naming conventions, and internal calendars.
* Maintain project dashboards, delivery schedules, and onboarding documentation templates.
* Schedule meetings and minute internal and external planning calls where needed.
* Ensure accurate filing of attendance registers, consent forms, learner agreements, and other project documents.
GLA, ILR & Accreditation Systems Oversight
* Support ILR-compliant documentation collection for funded learners, including signed forms, learner files, and attendance evidence.
* Understand GLA/ESFA reporting requirements including LRS, start forms, and performance metrics.
* Work with partners (e.g. WAES) to ensure evidence meets audit standards and matches delivery records.
* Track learner outcomes to support certification processes (e.g. CPD, accredited training).
* Liaise with accrediting partners and training providers on templates, deadlines, and certification procedures.
Compliance, Policy & Due Diligence
* Review and update internal delivery and safeguarding documentation in line with funder and legal requirements.
* Maintain up-to-date policy documents including safeguarding, EDI, GDPR, and complaints procedures.
* Ensure all programme documentation meets funder due diligence requirements, including ID, proof of address, impact data, and consent forms.
* Support internal spot checks and quality assurance processes.
Stakeholder and Team Communication
* Act as point of contact for delivery partners, venues, and programme participants on logistics and documentation queries.
* Provide regular updates to the Director and wider team on project progress, risks, and action points.
* Compile summary reports on delivery status, learner engagement, and compliance.
Essential Skills and Experience
* Strong experience in programme or project coordination, ideally in a training, education, or non-profit setting.
* Excellent administrative and organisational skills with a strong attention to detail.
* Familiarity with funder systems (GLA, ILR, ESFA, CPD, etc.) and documentation processes.
* Comfortable reviewing and applying organisational policies (safeguarding, data, compliance).
* Confident using Google Workspace, cloud folders, task/project tools (e.g. Trello, Airtable).
* Professional communication skills — both written and verbal.
* Ability to work independently and take initiative in a fast-paced environment.
Desirable (but not essential)
* Experience working on GLA, ESFA or local authority-funded programmes.
* Understanding of ILR processes, CPD certification workflows, and grant monitoring requirements.
* Experience working with social enterprises or CICs.
* Experience coordinating with external partners and delivery staff.
