EQUANS is looking for an Apprentice Administrator to join our team based in Rotherham on an apprenticeship basis (2 years). This is a full time role working 37.5 hours per week. On offer is a salary of £14, per annum, dependant upon skills and experience as well as benefits package.
The Apprentice Administrator will be based at Rotherham covering various PFI School Contracts. You will provide administrative cover to other parts of the FM Administration Team during staff absences.
What will you deliver?
1. Monitoring of email inboxes daily
2. Every week, managing sickness and holiday requests, mileage, purchase card receipts
3. Responsible for maintaining accurate DBS records
4. Local HR file management including training records and plans
5. Creating of Work Order and Purchase Orders on Maximo
6. Invoices/Monthly Receipting
7. Ordering of supplies for the Office
8. Approving labour in Maximo
9. Minute taking as and when required
10. Run Business Reports when required
11. Ensure that billable work is invoiced promptly by collating information on the local share point, this includes individual work orders and following the approvals process. Update and maintain key trackers covering billable work (e.g. Damage, Lifecycle, and unplanned Lifecycle recharge). Periodically cleanse maintenance-related Work Orders to ensure they have been coded correctly in terms of billable / non-billable work
12. Be the main point of liaison with the Regional Operations Centre (Helpdesk) to ensure that scheduled maintenance visits are booked in a timely fashion and that corresponding maintenance records are received and locally reviewed in a timely fashion
13. Support Technical Manager on non-compliance or unavailability of services, including impact on financial performance
14. Support team meetings and events as necessary
15. Be responsible for carrying health checks to ensure
16. Any other duties that may be required to facilitate the efficient operation of the Contract.

Who are we looking for?
28. Experience in a customer service role is highly desirable
29. Excellent communication skills
30. Ability to work as part of a busy team

32. Experience in minute taking would be advantageous.
This role includes a Basic DBS check therefore ability to pass is essential.
