Programme Administration Lead
Contract Details
Duration: 3–6 months
Working Pattern: Hybrid (3 days office / 2 days remote)
Job Purpose
To manage a team of School-aligned programme administrators responsible for the effective delivery of administrative services across undergraduate, postgraduate, apprenticeship, and CPD programmes. The postholder will ensure day-to-day operations are delivered to a high standard and in line with institutional policies, supporting staff and academics to deliver an excellent student experience.
Main Activities and Responsibilities
Lead and coordinate the work of a team of programme administrators aligned to a specific academic School or Schools.
Ensure administrative tasks such as enrolment, module registration, assessment, and progression processing are completed accurately and on time.
Act as the key operational contact for academic staff, building positive relationships to support programme delivery.
Monitor and maintain service quality, ensuring compliance with university regulations, procedures, and service standards.
Support the development and training of team members, providing day-to-day supervision and guidance.
Manage the allocation of work within the team, ensuring workloads are distributed appropriately and deadlines are met.
Escalate complex queries or issues to the Student & Programme Administration Manager or other senior colleagues as appropriate.
Contribute to the continuous improvement of administration processes, suggesting and supporting enhancements.
Maintain up-to-date knowledge of programme requirements, systems, and institutional procedures.
Support student and academic enquiries with professionalism and care, ensuring queries are resolved effectively.
Supporting University events such as enrolment, graduation, open days, and clearing as required.
PERSON SPECIFICATION
Essential Criteria
Experience of supervising or supporting a team in a busy administrative environment.
Experience of delivering programme or student administration in higher education.
Skills in organising and prioritising workloads to meet deadlines.
Experience of building productive relationships with academic and/or professional colleagues.
Knowledge of administrative processes supporting the student lifecycle.
Strong attention to detail and commitment to accurate record-keeping.
Ability to solve problems and respond to operational challenges effectively.
Experience of using digital systems for student records or programme management.
Desirable Criteria
Familiarity with university regulations and academic programme structures.
Experience supporting postgraduate, apprenticeship or CPD provision.
Skills in coaching or mentoring junior staff.
