Part time, Studio Lead - Shoreditch & Brighton


* Weekly hours: 20 hours per week.
* Days of Week: Mon-Fri, 4 hours per day.


About us:


We’re a small, fast-paced team running established creative sip & paint studios in London, Brighton and the North. This year is shaping up to be a big one for us as we expand, and we need a \"linchpin\" someone who can keep the wheels turning while we’re busy scaling.


We aren't looking for a typical office admin; we need someone who understands hospitality and venue management. You’ll be working closely with our Operations Executive to make sure our Shoreditch flagship and Brighton site run like clockwork.


This is a varied role. You’ll be the face of the studio for customers, the hands-on person for deliveries, and the brain behind the admin that keeps us organised.


You’ll be involved in:


* Operations: Managing the daily flow of our Shoreditch flagship.
* Customer Service: Being the point of contact for our community and partners.
* Management: Responsible for managing our sub contractors.
* Events: Helping us execute brand partnerships and fast-paced events across the studios.
* Support: Working directly with our operations team to keep things smooth as we grow.

* You’re London-based: You’ll need to be on-site in Shoreditch regularly with travel to Brighton 1-2 times a month.
* You’ve got \"floor\" experience: We’re looking for someone from a hospitality or management background who knows how to handle a busy environment without breaking a sweat.
* You’re a doer: We’re a small team, so no task is too small. Whether it’s sorting a delivery or prepping for a high-profile brand event, you’re on it.

Job Description


1. Operations & Studio Management


* Administrative Support: Provide comprehensive operational assistance to the Studio Operations Executive across a variety of studio-based and administrative tasks.
* Customer Call Oversight: Check the Aircall messages for the studios daily (Monday to Friday) and respond when necessary.
* Inventory Control: Perform weekly physical stock takes and maintain the digital inventory tracker to ensure 100% accuracy for procurement.
* Procurement & Logistics: Place studio orders upon request and manage the receipt and organisation of all weekly deliveries.
* Facilities Maintenance: Maintain the studio and bar areas to a high brand standard, including regular line cleaning, restocking, and general organisation.
* Reporting Maintenance Issues: Report to management on any studio maintenance issues.
* Contractor Oversight: Act as the primary point of contact and supervisor for external service providers, including cleaners and maintenance contractors.


2. Leadership & Contractor Management


* Roster Management: Take full ownership of the schedule publishing for hosts.
* Engagement & Product Education: Lead brand briefings, optional curriculum previews and Host socials for the subcontractor pool.
* On-Call Support: Act as the remote first point of contact for the subcontractors during live sessions to troubleshoot operational issues.
* Escalation Management: Handle emergency situations and report critical incidents directly to the Studio Operations Executive.
* Service Quality Observation: Attend a minimum of one paint and sip session per week to conduct on-site observation and review of service delivery, ensuring standards are met by subcontractor Hosts and to facilitate ongoing ‘Engagement & Product Education’ as a key part of your contractor management duties.


3. Event Execution & Creative Support


* Bespoke Event Support: Work closely with the HQ team on the end-to-end planning, logistics, and execution of bespoke brand and high-value client events.
* Mobile & External Events: Support the operational setup and logistical requirements for off-site Pop-up and partnership sessions.


4. Customer Experience & Project Ownership


* Communication & Collections: Manage the end-to-end customer communication and logistics for artwork collections at the studio sites.
* Specialty Prep: Take full ownership of the “Paint Your Pet” image preparation process, ensuring all customer submissions are processed and ready for session delivery.
* Subcontractor Assistance: Support the Studio Operations Executive with evaluating sub-contractors, administrative tasks, invoice approval, and auditing customer service delivery.


5. Communication & HQ Integration


* Strategic Reporting: Maintain a clear and consistent line of communication with the Studio Operations Executive to ensure alignment on business goals.
* HQ Collaboration: Work from the studio on designated “HQ Days” to facilitate collaborative project work and team synergy.
* Accountability: Attend 1-on-1 strategy calls for studio planning & operations.
* Management: Be the link between hosts for all south studio sites, managing training, support with individual needs, bridge between hosts and HQ.


6. Business Development & Marketing Support


* Studio Viewings: Executing studio viewings for prospective clients.
* External Site Visits: Pop-up and partner site visits.
* Networking & Partnerships: Attend networking events and facilitate partnerships as required.
* Promotional Support: Assist with flyering and other local promotional activities as directed.


Essential Skills:


* Hospitality experience
* Managing relationships or teams


Desired but not essential:


* Artist host experience
* Multi site management experience of teams
* Knowledge in using platforms such as Square, Deputy, Monday.com & Aircall.
* Experience in operations
