As we continue to grow, we are looking for a meticulous and proactive Finance Administrator Assistant to support our operations teams.
Your Role
This is a key position supporting the day-to-day financial administration of the business. Reporting to senior management, you will play a vital role in ensuring accurate and efficient financial operations, while also supporting broader coordination tasks across our office functions.
Key Responsibilities:
1. Maintaining the purchasing order system and purchase ledger invoices using Joblogic (Field Management System)
2. Maintaining sales ledger invoicing using Joblogic (Field Management System)
3. Processing purchase and sales ledger entries using Sage 50 from Joblogic
4. Performing bank reconciliations from Sage 50 bank feeds
5. Managing month-end procedures
6. Handling accounts payable and receivable processes
7. Submitting bi-weekly payroll to the outsourced company
8. Preparing bank schedules for payments
9. Making journal entries in Sage 50, including monthly prepayments and accruals
10. Preparing financial data for monthly management accounts
11. Managing monthly CIS deductions and record keeping
12. Preparing and submitting HMRC PAYE/NIC payments
13. Preparing quarterly VAT returns for HMRC
14. Maintaining accurate financial records in line with company policies and HMRC requirements
15. Coordinating with project and service teams for job costing
16. Assisting with internal audits and external reporting
17. Managing Sage 50 Year-End procedures and reporting for external accountants
18. Liaising with external accountants and suppliers as needed
19. Supporting the office team with general administrative duties when required
Skills & Experience Required:
1. Minimum 2 years of experience in finance administration or a similar role
2. Strong knowledge of bookkeeping and financial processes
3. Proficiency in Microsoft Excel and accounting software (e.g., Sage 50)
4. Knowledge of Joblogic or similar systems
5. Highly organised, detail-oriented, and capable of managing multiple tasks
6. Confident communicator with a proactive attitude and team spirit
7. AAT qualification is essential
