Job overview

The Clerical Officer will provide an essential support service to the efficient running of the Maternity Unit. They must have the ability to work as part of a team as well as being able to work on their own initiative. The post holder must have computer skills, be able to communicate effectively and work well under pressure. The highest standard of data quality input is required at all times.

Main duties of the job

Working in a team with little or no supervision at times.

To operate 4 computer systems, CMIS, ICE, iPM and Evolve.

Inputting patient details and accurate medical information onto the systems.

Updating patient details on all systems as and when required.

To ensure documentation is available in advance for antenatal clinic appointments.

Make new booking appointments in the New-Booking diary from Midwives as and when required and create appointment / letters, send out to patients.

Taking calls from women who want to ‘self-refer’ for maternity services if unable to access the L&D Portal for self-referrals.

Make appointments on iPM for clinic for follow-up appointments and patients and GP’s as and when required.

To ensure and maintain effective communication pathways both face to face, over the phone and by e-mail, within all levels of the multi-disciplinary team, and any external agencies when required.

The Maternity Clerk will assist in the creation of a non-judgemental and supportive environment for colleagues. They will be able to work as a team player providing a flexible approach to both patients and colleagues.

They will display a professional attitude and appearance at all times.

Detailed job description and main responsibilities

Deal with GP, Midwives, Clinicians, Secretaries enquiries via the telephone, respectfully.

Direct patients and visitors to other Departments, Wards and Clinic Windows / areas in a courteous, helpful and calm manner.

Liaise with Midwives, Consultants and other Departments within the hospital regarding clinics and general enquiries.

Bleep the Porter to collect blood specimens.

Cancel the rescheduled clinics and at times contact patients directly to cancel / reschedule their appointments/

Pull the clinic case notes in advance for the pending clinics. Ensuring all notes are available, tracking down missing notes from other Departments, together with any other documentation that is required.

File patients notes in filing area correctly in numerical order

Pull any file for patient coming into Delivery Suite, MLBU, Day Assessment Unit and the Wards at request.

To maintain complete confidentiality of any information required in the work place at all times.

Qualifications

Essential criteria

1. Good standard of general education, including English & Maths at GCSE level
2. Experience within this role and working for the NHS

Desirable criteria

3. Knowledge and experience of CMIS, iPM and ICE

Experience

Essential criteria

4. Experience of working in an environment dealing with highly confidential data
5. Experience working within a busy team
6. Working independently using insight and can carry out instructions
7. Able to prioritise forthcoming requirements of data collection

Desirable criteria

8. Previous experience of working within a multi-disciplinary team
9. Database experience (CMIS)

Knowledge

Essential criteria

10. Customer care needs
11. Must be able to demonstrate behaviours consistent with the Trust values and behaviours
12. Can identify gaps in knowledge, be open and transparent

Desirable criteria

13. Awareness of the need to be open if an incorrect judgement has been made
14. Experience of working within a team

Communication Skills

Essential criteria

15. Excellent communication skills with both colleagues and patients. Excellent telephone skills.
16. Confident speaker with an excellent understanding of the role and responsibilities of within a hospital setting
17. Ability to deal with members of the public with both face to face contact and through the use of the telephone in a polite respectful manner
18. Works on own initiative and within a team and have good organisational skills
19. Good Computer skills (Word, Excel, Outlook)

20. Has the desire to improve and implement change

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
