Overview
The role covers reception duties for the Gastroenterology & Endoscopy Unit at Victoria Hospital, including evenings (up to 6pm) and weekends. Responsibilities include retrieving patient case notes from across the Trust, preparing case notes for procedures and clinics, checking‑in patients, and supporting an extremely busy unit. Interviews are face to face at Blackpool Teaching Hospitals. There is no sponsorship for this vacancy.
Candidates should be motivated, enthusiastic, possess good communication skills, work well within a team, maintain patient confidentiality, and provide excellent customer care.
Qualifications
3 GCSE passes at level C or equivalent (including English). ECDL qualification is desirable.
Duties and Responsibilities
1. Retrieve patient case notes from across the hospital and associated peripheral hospitals.
2. Ensure health record folders are traced to their location in the hospital’s electronic HISS system.
3. Prepare case notes for clinic and day case theatre admission.
4. Cover reception duties in a polite and professional manner.
5. Admit and process patient attendance within the associated clinics.
6. Ensure a referral letter is available within the health record folder for new patients attending an outpatient appointment.
7. Add and amend administrative information (e.g., update patients’ demographic details) in both the HISS/EMIS system and the health record folder, ensuring accuracy and completeness.
8. Correct any errors discovered in a timely manner to the satisfaction of the Directorate Support Manager.
9. Update the hospital information system to reflect correct patient details.
10. Ensure all allocated duties are completed promptly and satisfactorily.
11. Offer general support to the gastroenterology admin team.
12. Liaise with and work in harmony with other areas of the Trust to promote patient experience.
13. Be an integral member of the assigned team.
14. Adhere to the medical records procedures.
15. Answer phone calls, take messages, and act upon messages for both outpatient and day case attendances.
16. Constantly review admin processes and suggest ways to improve them.
17. Comply with the job description statement.
18. Comply with all relevant policies, procedures, and training requirements.
19. Undertake any other ad‑hoc activities as directed.
