Some key aspects of the role will include: To work as part of a team providing group solutions. To develop and maintain strong and lasting relationships with existing and new clients through the delivery of excellent service, using suitable products and services and by doing so, contribute to the overall success of the Groups & Events department. Under the guidance of the Group Travel Manager build strong and lasting relationships with clients, including but not limited to: Liaise and follow up with clients in a timely manner Manage Customer Service issues or escalate to the Group Travel Manager for support Support the team to prepare responses to new enquiries. Tasks include but are not limited to Under the direction and guidance of senior colleagues support with the delivery of assigned project work including but not limited to: Processing hotel payments and commission invoices Issuing payment receipts Sending rooming lists to hotels and DMCs, ensuring standard data process workflows are followed to ensure the receiving, managing, and sharing of data is GDPR compliant Ensuring that all programme information is correctly filed so other team members can pick up a file and have a full knowledge of the history and status Delivering consistency by using standard operational documents including but not limited to (e.g., confirmation of services, budget templates, project change orders, personalised itineraries, operational agendas, stakeholder briefing packs) Answering and directing incoming phone calls/emails from clients, suppliers, and partners Responsible for having a full awareness of the Groups & Events financial targets and supporting the Group Travel Manager to achieve and exceed them Attend industry events in the UK to expand knowledge in the UK and overseas Collaborate across the Groups & Events division and wider business Support the Groups & Venues team with research, delivery and admin as required Support the Trade Missions team with research, delivery and admin as required Support the Groups & Events Director and Head of Groups Planning & Delivery to generate new ideas for the marketing department Flexibility to support on-site as required What are we looking for Knowledge of the travel industry is beneficial with a willingness to train and upskill a requirement Knowledge of GDS Amadeus is beneficial with a willingness to train and upskill a requirement Knowledge of Evolvi is beneficial with a willingness to train and upskill a requirement Competent in using the full range of Microsoft Office products (including Teams, Excel, PPT and Word) as well as web-based sharing tools (e.g. SharePoint) Knowledge of Dolphin or Travcom would be beneficial with a willingness to train and upskill a requirement Be confident in using new technology solutions introduced for both internal and external use and be willing to undertake training Able to work on own initiative and manage own workload Excellent attention-to-detail and accuracy Excellent organisational and administration skills Excellent communication and interpersonal skills Good problem solving and decision-making abilities Flexibility to travel A passion for travel and delivering exceptional client experiences Strong work ethic and team player attitude with strong independent initiative Professional drive and can-do approach Curious with a focus on professional and personal development Be able to cope well under pressure Diversity We respect and value difference and seek to create an inclusive workplace which promotes and values the diversity of our employees.
