(Full time) Property Administrator (Part home-based 2 Days) We are a family-run block and estate management business with offices based in Hemel Hempstead (HP1) and Sevenoaks (TN13), offering a unique opportunity to join our growing team as a property administrator. We manage residential apartment blocks and complexes in London and the surrounding counties. The role will be a combination of office-based and work-from-home, located at one of our offices. A driving licence is essential. Property experience or a relevant field is desired, but not essential for the role, as training will be provided. The role is expected to evolve into further career opportunities within our block management team. Successful candidates will be given training and an opportunity to become a qualified property manager. The candidate should have a keen interest in developing a career within the leasehold management sector, be well-presented, have a strong personality and be well-grounded. It is essential that the candidate possesses a high level of literacy and can effectively operate in various software applications, including email, Word, and Excel. As communication is at the core of our business, candidates must have excellent customer service skills and a professional, diplomatic approach. As one of our Property Administrators, your role will be to proactively and professionally support the property management team, which manages a portfolio of residential properties in London and the surrounding counties, by providing administrative assistance, liaising with residents and contractors, maintaining accurate records, and ensuring timely communication and service delivery. Full training will be given to the successful candidate on all elements of the role. Key Responsibilities: Administrative Support Prepare and issue correspondence, letters, notices, and email communication to residents, contractors, and leaseholders. Assisting with the preparation and distribution of service charge budgets and related documentation. Maintain accurate property management databases, filing systems, and digital records. As required, organise and schedule appointments, meetings, and site inspections. As required, attending and assisting in compiling reports, minutes of meetings, and other documentation as required. Preparing and distributing property information packs. Resident Liaison Handle inbound calls, emails, and enquiries from residents professionally and promptly. Log and track resident issues, maintenance requests, and complaints, ensuring timely updates and resolution. Provide courteous and accurate information to residents regarding service charges, maintenance works, and other property-related matters. Financial Administration As required, assist in chasing service charge arrears under the direction of the property manager. Contractor Coordination Liaise with contractors for routine maintenance, repairs, and service schedules. Obtain quotes for works and services as directed by the property manager. Maintain records of contractor compliance (insurance, health & safety documents, etc.). Compliance and Record-Keeping Help ensure compliance with relevant legislation ( e.g. Health & Safety, Fire Safety, Data Protection). Maintain up-to-date records of statutory checks and certifications for managed blocks. Benefits; A long-term career opportunity with a focus on development into a property manager role. Package; Full time; £27,000 - £35,000 per annum Monday Friday 9am- 5pm (Experience depending) Salary paid in arrears and on the last working day of the month. No car is offered with this role, but we will consider a car mileage allowance if required. The successful candidate must have their own vehicle and occasionally be willing to travel. The role will also require travel by train from time to time, covered by the company. All levels and graduates considered.
