1.Purpose of Job
•To support the Head of Department in the operational leadership of the department, by providing a management role for key aspects of the departments day-to-day operations.
•The Deputy Head of Department will have direct line management responsibilities for some staff within the department and will play a key role in driving excellence in teaching, learning, and assessment and quality of data/operational compliance across the whole department.
•This role will deputise for the Head of Department as required and contribute to departmental planning, quality assurance, and staff development.
2.Principal Accountabilities
The duties and responsibilities of a Deputy Head of Department are inherently of a professional nature and are wide ranging. They include all aspects of managing a curriculum area, including staffing, planning, quality of education, recruitment and marketing, and budget responsibilities. They include, but are not restricted to the following:
Leadership & Management
•Provide day-to-day line management of some departmental staff which may include Administrators, Coaches, Instructors, Casual Staff and Lecturers.
•Undertake associated onboarding, mentoring, probation and appraisals for those staff directly managed (leading on performance management where appropriate).
•Deputise for the Head of Department in their absence, ensuring overall continuity of leadership and decision-making across the department.
•Lead departmental meetings and contribute to cross-college initiatives as required.
Quality Assurance & Improvement
•Oversee the implementation and monitoring of quality processes, including learning walks, observations, audits of ILPs and Markbook ensuring learners maintain positive progress checks throughout the year.
•Conduct Learning Walks and OTLs following the teaching and learning procedures to review and evaluate the quality of education and lead on improvements across the department.
•Promote innovative and inclusive teaching, learning, and assessment practices across the department ensuring teachers adapt their practice to meet individual learning needs.
•Contribute to departmental quality reports, including SARs, QIPs, and Quality Improvement Review Board presentations. Be prepared to discuss data in full, with senior leaders.
•Support the effective monitoring of Apprenticeship Accountabilities, including “Off the Job Training”, Knowledge, Skills, Behaviour tracking for apprentices and ensure H&S/ELIs remain within college tolerance (leading on performance management where appropriate).
•Ensure accurate and timely achievement CLAIMS submissions within college deadline and maintain strong relationships with Awarding Organisations.
•Lead departmental tracking of Attendance, Retention, Pass and Achievement and at-risk learners so that CMs can use this within team meetings and team communications.
•Monitor student progress, achievement, and retention, and lead interventions for at-risk learners.
•Ensure learners with disadvantage (including for example SEND/High Needs, those with low prior attainment and those with experience of care) are effectively supported and monitored throughout their programme of study to achieve at least as well as their peers.
Curriculum Planning, Development & Delivery
•Maintain and update personal knowledge of local skills and research opportunities for work within the area to ensure curriculum planning takes account of this and remains future focused.
•Ensure the curriculum is positioned at the centre of appropriate local, regional and national initiatives, meeting skills requirements of the 3 devolved authorities, building effective relationships to strengthen and promote curriculum area activities and participate and lead on project work within the curriculum area.
•Ensure curriculum planning and implementation is consistent with and complementary to the objectives of other teams and the college overall
•Work collaboratively with employers and stakeholders to co-design and implement the curriculum offer provided within the department, supporting the CM to develop relationships with external partners.
•Lead on the development of engaging and effective planning documents such as SOW and Assessment Plans where the focus is holistic for the individual rather than qualification driven.
•Support the development of Schemes of Work and Assessment Plans that reflect holistic learner development and are adaptive in their nature to support individual learning needs.
•Plan to deliver classes of up to 264 hours, demonstrating exemplar teaching, learning and assessment.
Staff Development & Support
•Mentor new staff and support newly qualified and trainee teachers.
•Lead on staff induction and contribute to CPD planning and delivery.
•Promote a positive and collaborative team culture.
Student Experience & Engagement
•Lead student voice activities and respond to feedback to enhance the learner experience.
•Support behaviour management and disciplinary processes, taking the lead on routine cases.
•Organise representation of the department at open events, school liaison activities, and other recruitment initiatives.
•Take an active role to ensure the website is continuously updated with the curriculum plan offer, ensuring accurate information is available to enable prospective students to view, select and apply, across the range of classroom-based provision.
Budget Management
•Maintain highly effective knowledge of the funding streams associated with DFE 16-19 ESFA including T Levels; apprenticeships; ASF for ESFA and 3 x devolved authorities; Higher Education (including the development of HTQs); bootcamps; full-cost professional and business bespoke offer; BELPs, SEND/High Needs funding, Pre-16 (EHE and School Roll).
•Play an active role and support the CM in achieving curriculum income targets set through the curriculum planning process across each funding stream, reporting on budget expenditure, demonstrating cost control and the ability to deliver more for less.
•Assist with the development of a Curriculum Plan, using a recognised software package – giving due consideration to programme intent, implementation and impact of the curriculum, and the impact on students, customers, the economy and the college’s objectives and targets.
•Lead timetabling for the department and the organisation of cover for when staff members are absent, ensuring optimum deployment of staff to ensure effective and efficient utilisation
•Ensure programmes of study meet funding guidelines, including GLH and conditions of funding.
•Ensure Apprentice compliance with funding regulations and timely learner achievement, providing effective intervention when required.
