We have an exciting opportunity for an experienced, organised and proactive Document Production Assistant Manager, with a passion for operational excellence and client service, to lead our evening shift team. This role is pivotal in ensuring the smooth running of our document production service for the firm, maintaining high standards of quality, and delivering exceptional service to clients.
The role is remote with the expectation for both DP Assistant Managers (and the team sometimes) to occasionally work in the London office for business and wider team management, including social reasons.
Team Leadership
* Lead, manage and support the evening DP team, ensuring strong communication and collaboration, and making sure that the overall DP team retains its strong reputation as delivering best in case document production services.
* Conduct regular team catch‑ups and performance reviews.
* Oversee holiday, absence, and overtime requests, balancing business needs and cost.
* Address performance and other employee relations issues with professionalism and care.
* Build effective relationships across legal groups and Business Services to be an effective ambassador for the DP team and service.
* Working collaboratively with the Day Assistant Manager, develop the team so that they are continually enhancing their document production, team and client service skills.
Workflow Coordination and Management
* Co‑manage and manage overall workflow operations with the Day Assistant Manager using BigHand Now, delegating to the evening team as necessary.
* Ensure all job requests are accurately logged and tracked (either by team or self).
* As relevant and necessary, liaise with internal teams and clients to agree and lead on deadlines and estimating and ensure a fair distribution of work.
* Provide hands‑on support with document production tasks.
Client Services
* Act as the first point of contact for client queries during the evening shift.
* Where appropriate and practical, proactively liaise with the business to ensure that the service delivery is of the right quality and to get regular feedback.
* Understand the legal groups and other internal clients, e.g. Marketing & BD, to understand client and business priorities.
* Collaborate with all teams across Secretarial Services to ensure continuity of service.
Qualifications
* Proven experience in team management within a document production or secretarial services environment.
* Excellent document production skills.
* Strong organisational skills and attention to detail.
* Excellent communication and interpersonal abilities.
* Confidence using workflow tools (e.g., BigHand Now) and document management systems (e.g., NetDocs).
