Senior Customer Services Administrator – Barnet Wheelchair Service
You will be our Senior Customer Service Administrator working as part of the Clinical Team, providing a friendly welcome to all visitors and handling telephone/email enquiries.
This busy service requires someone with strong experience to take responsibility for reception and administrative duties, ensuring efficient data management, reporting, and patient communication.
Responsibilities
* Lead data management and reporting for the service, developing Excel-based processes and pivot tables.
* Load referrals into the IT system, arrange clinic appointments, and manage scheduling with clients, carers, suppliers and colleagues.
* Respond to daily calls and emails courteously, escalating unresolved issues to the Clinical Lead or Customer Service Supervisor.
* Enter and monitor referrals immediately from users, carers, families or prescribers.
* Handle queries from prescribers, service users, carers, and colleagues, passing messages promptly.
* Run and account for all administrative operational systems within the clinical areas.
* Maintain IT equipment, ensuring it is functional and safeguarded; keep the own computer secure.
* Assist in other areas of the Wheelchair Service as required, supporting staff cover and ensuring the service centre remains effective and efficient.
* Demonstrate Ross Care competencies: achieve business results and add value; focus on internal and external customers; build and maintain teamwork; perform duties according to company policies.
Experience & Qualifications
* Experience within a busy customer service department; administrative and referral processing preferred.
* Excellent communication, organisational skills, and attention to detail.
* IT literacy with excellent Word and Excel skills.
* Excellent telephone manner.
* Experience in a similar role beneficial.
* Full driving licence and ability to travel between sites an advantage.
* GCSE A-C level (excluding equivalence), including English and Maths.
* Any additional qualification in IT or administration is an advantage.
