We are seeking a Practice Management Executive for an exciting new role supporting the operational organisation of our tier 1 Real Estate practice. Ideally based in London.
Role Overview
The Practice Management Executive (PME) will play a crucial role in supporting the operational management of the Practice Group.
The role will report into the Head of Practice Strategy & Operations (PGH) for Real Estate while also supporting the Core Operations Team (Ops Team), and the Team Leaders within the Group with operations management.
* Practice Operations
* Operational Management Support: Form part of the operations team for the Practice Group and each of the teams within it, supporting the PGH and Ops Team with operational management support the Practice Group and Team(s) as required and as directed by the PGH.
* Project Management: Manage and coordinate practice/team-specific initiatives from an operational perspective at a Group and Team level, supporting the PGH and Ops Team to drive projects to successful completion, as required.
* Stakeholder Engagement: Build and maintain effective working relationships within the Practice Group and Team(s) and provide support to any Practice Group or Team forums or internal committees, as directed by the PGH.
* Talent Management: Support the PGH and Ops Team with the operational coordination of recruitment, integration and exit arrangements for new joiners and leavers for the Practice Group and Team(s), as required.
* Practice Administration & Compliance
* Knowledge Management: Working with the Ops Team, the Knowledge Counsel/PSA and Knowledge team to plan and deliver any practice group specific training or knowledge initiatives.
* Resource Management: Work with the Resource Manager if applicable and/or the PGH/Ops Team to support them with resource management for the Practice Groups and Team(s), as directed by the PGH.
* Reporting and Data: Support the wider Ops Team by acting as a central contact for facilitating the retrieval of data from Business Services on behalf of the Practice Group/Team(s), as well as the timely dissemination and summarising of such data for the Practice Group/Team(s), as directed by the PGH and Ops Team.
* Compliance: Monitor and coordinate compliance with central firm initiatives and deadlines, as directed by the PGH.
* Practice Communications & Events
* Events: Own the social and team engagement budget and provide project management and coordination of operational and administrative support for Practice Group and Team(s) events including away days, social events and CSR initiatives, as directed by the PGH.
Communication
Facilitate effective communication within the Practice Group and Team(s), maintaining and coordinating manual email distribution lists, newsletters. Horizon content (in conjunction with the PSL and Knowledge Teams) and MS Teams workspaces/channels as required and as directed by the PGH.
Key Requirements
* Educational Background: A bachelor’s degree or equivalent experience in business administration, management, or a related field and/or a willingness to invest in professional skills development with support.
* Organisational Skills: Strong organisational and project management skills including excellent time management skills with the ability to prioritise tasks and manage multiple responsibilities.
* Attention to Detail: Keen attention to detail to ensure accuracy in all tasks and deliverables.
* Communication: Excellent written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.
* Technological Competence: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools.
* Teamwork: Ability to work effectively both independently and as part of a team, demonstrating a proactive and collaborative approach.
* Discretion and Integrity: High levels of personal discretion, business ethics, and integrity in handling confidential information.
Preferred Experience
* Previous experience in a practice facing business support role ideally within the legal sector or alternatively within a professional services environment.
* Exposure to international, complex, and matrix-management environments.
* Experience in supporting change projects and programs.
* Experience in operational management.
