Hyster‑Yale Materials Handling is a global leader in the materials handling industry. We design, manufacture, sell, and service a comprehensive range of lift trucks, attachments, and power and technology solutions under the trusted Hyster® and Yale® brands. Our Frimley site supports key EMEA functions and plays an important role in enabling effective business operations.

We are now seeking a Business Support Coordinator to join our Facilities team at Frimley, providing front‑of‑house services, administrative support, and site coordination.

About the Role

Working as part of the Facilities and HR teams, the Business Support Coordinator is a highly visible role responsible for delivering a professional reception service while supporting the effective day‑to‑day operation of the Frimley office.

The role also acts as the Business Management Systems (BMS) Site Document Coordinator for Frimley, supporting ISO 9001:2015 requirements, and provides ad‑hoc administrative support across HR and other business functions when required.

Key Responsibilities

Reception & Front‑of‑House

1. Provide a professional, courteous welcome to all employees, visitors, and guests at Frimley.

2. Manage incoming and outgoing calls, messages, and related correspondence.

3. Control building access, ensuring only authorised access is granted.

4. Maintain visitor records and issue temporary access badges.

5. Manage visitor Wi‑Fi access, update reception displays, and coordinate communications.

6. Arrange taxis, travel accommodation, courier services, and manage daily mail distribution.

Site & Facilities Support

7. Support the Facilities Lead with day‑to‑day office operations and administrative tasks.

8. Represent Facilities in inter‑departmental meetings and facilitate communication across teams.

9. Coordinate contractors and suppliers (e.g. cleaning, maintenance) and escalate health & safety issues as needed.

10. Support fire safety arrangements, including Fire Warden coordination and training.

11. Raise requisitions and purchase orders via SAP.

12. Order office supplies and support sustainability initiatives (utilities and waste monitoring).

13. Assist with facilities‑related projects and initiatives as required.

Business Management Systems (BMS) & ISO Compliance

14. Act as BMS Site Document Coordinator for the Frimley site in line with ISO 9001:2015.

15. Manage document control, versioning, approvals, and records within FileNet/MIDI and the Master Index.

16. Monitor the CAPA database and ensure timely closure of actions.

17. Coordinate internal and external audits, including audit scheduling and hosting.

18. Support and mentor site auditors and undertake auditor training where required.

Skills, Knowledge & Experience

Essential

19. Secondary‑level education or equivalent relevant experience.

20. 2–5 years’ experience in a receptionist, front‑of‑house, or administrative support role.

21. Strong customer‑focused approach with excellent interpersonal and communication skills.

22. Proven ability to multitask, work independently, and manage competing priorities.

23. Good working knowledge of Microsoft Word, Excel, and PowerPoint (Excel essential).

24. Professional appearance and confident communication style.

Desirable

25. Experience working in a corporate or multi‑department environment.

26. Familiarity with document control systems or ISO‑related processes.

27. Experience raising purchase orders or working with ERP systems (e.g. SAP).

This is a varied and hands‑on role requiring strong organisational skills, initiative, and adaptability. You will be a key point of contact within the Frimley site and play an important role in creating a positive experience for employees and visitors alike.

The successful candidate will be required to complete background checks in line with company policy.
