About the Role
We are looking for a proactive, organised and detail-focused Pharmacy Procurement, Inventory & Product Data Controller to join our on-site team in Stafford.
This is a key role supporting both our online pharmacy and WDA wholesale distribution operation. The successful candidate will be responsible for daily purchasing, stock control, goods‑in, supplier returns, product research, and setting up new stock lines within our inventory system.
The role would suit someone who enjoys taking ownership of stock accuracy, supplier communication, purchasing decisions and clean product data. You will be working across both physical stock handling and system‑based administration, helping the business maintain the right stock levels while following a just‑in‑time approach wherever possible.
Key Responsibilities – Purchasing and Stock Replenishment
* Review stock levels daily and identify products that need to be reordered.
* Purchase required stock from approved suppliers.
* Maintain regular ordering of core and repeat product lines.
* Support a just‑in‑time stock methodology, avoiding unnecessary overstocking while maintaining product availability.
* Monitor supplier availability, pricing, pack sizes and lead times.
* Liaise with suppliers to obtain prices, product information and availability.
* Provide quick stock and pricing updates to the sales, pharmacy and wholesale teams.
New Stock Line Setup
* Add new stock lines to the inventory system in line with the company’s agreed process.
* Ensure product names are accurate, consistent and correctly formatted.
* Upload suitable product images.
* Add clear and accurate product descriptions.
* Check key product details including pack size, strength, formulation, brand or generic name, supplier, pricing and other required fields.
* Ensure products are correctly categorised within the inventory system.
* Avoid duplicate, incomplete or incorrectly named product records.
* Update existing stock lines when product information, descriptions, images, pricing or supplier details change.
* Ensure new lines are set up accurately for use by purchasing, pharmacy, wholesale and sales teams.
Goods‑In and Stock Handling
* Receive incoming deliveries and check them against purchase orders and delivery notes.
* Inspect stock on arrival to ensure it is correct, undamaged and in suitable condition.
* Check quantities, batch numbers, expiry dates, packaging condition and relevant product details.
* Accurately book received stock into the inventory system.
* Put stock away in the correct location.
* Ensure stock is stored safely, neatly and in line with company procedures.
Inventory Control
* Maintain accurate stock records across the online pharmacy and wholesale distribution operation.
* Carry out regular stock counts and cycle counts.
* Investigate stock discrepancies and correct inventory records where required.
* Ensure shelves are adequately stocked and well organised.
* Monitor short‑dated, slow‑moving, excess or missing stock.
* Support stock rotation and good stock management practices.
* Help maintain clean, safe and compliant storage areas.
Supplier Returns and Issue Resolution
* Identify damaged, incorrect, missing or unsuitable stock received from suppliers.
* Liaise with suppliers to arrange returns, credits, refunds or replacements.
* Follow up supplier issues until they are resolved.
* Keep clear records of returns, supplier queries, credits and stock issues.
* Escalate recurring supplier or stock quality issues where appropriate.
Product Research and Sales Support
* Research unfamiliar or newly requested products.
* Identify what the product is, who supplies it, pricing, availability, pack size and lead time.
* Source product information to support customer enquiries and sales opportunities.
* Provide fast and accurate feedback to the sales team.
* Help assess whether new products should be added as regular stocked lines.
Skills and Experience – Essential
* Strong attention to detail.
* Excellent organisational and prioritisation skills.
* Experience in purchasing, stock control, inventory management, warehouse operations, pharmacy, wholesale or a similar environment.
* Confident using stock systems, spreadsheets, supplier portals and inventory software.
* Good communication skills with suppliers and internal teams.
* Able to work accurately in a process‑driven environment.
* Comfortable with both physical stock handling and administrative tasks.
* Able to take ownership of daily purchasing, stock accuracy and product setup.
Desirable
* Experience in pharmacy, pharmaceutical wholesale, healthcare or regulated distribution.
* Understanding of batch numbers, expiry dates, stock rotation and goods‑in checks.
* Experience adding or maintaining product records in an inventory, ERP or e‑commerce system.
* Experience dealing with supplier returns, credit notes, refunds and damaged goods.
* Familiarity with just‑in‑time stock management.
* Knowledge of WDA, GDP or pharmacy stock handling processes would be advantageous.
About You
You will be practical, reliable, accurate and commercially aware. You will be comfortable moving between purchasing, supplier communication, stock handling, stock counting, product research and inventory system administration.
You should be curious enough to investigate unfamiliar products, disciplined enough to maintain accurate stock records, and responsive enough to support the wider team quickly when customer or sales enquiries come in.
