This is a fast-paced and varied Operations Co-ordinator role, working on site and supporting the resident ARMS Engineering team and broader operational functions. The post holder will provide a wide range of administrative support to ensure the smooth running of day-to-day site activities and operational delivery. The role involves regular collaboration with Team Leaders, Engineers and other on-site staff to co-ordinate meetings, manage payroll-related administration, and maintain effective internal communications. The post holder will also support the People/HR Manager with onboarding and people-related administration. The successful candidate will need to be confident, resilient, and highly organised able to manage multiple tasks simultaneously and complete them accurately and efficiently. They will need to be comfortable using data and digital tools and will ideally bring ideas and confidence to suggest and implement improvements to systems, processes and communications. The role requires someone who can handle confidential matters with discretion, bring structure to a busy operation, and build trusted relationships at all levels. Key Responsibilities Operational and Administrative Support Co-ordinate meetings, prepare agendas, and circulate supporting materials in advance Attend meetings, take minutes, and ensure follow-up actions are documented and communicated Liaise with Team Leaders and Engineers to support the smooth running of day-to-day operations Support project work and site initiatives as required Payroll and Data Administration Compile and check monthly overtime and pay-related data to support accurate payroll processing Maintain tracking spreadsheets, reports, and data logs Confidently use Excel to produce reports and summaries, including graphs and pivot tables Identify data anomalies and work to resolve issues promptly People and Onboarding Support Support onboarding administration including preparation of documentation, coordination of induction activities, and maintaining employee records Ensure all leavers and starters are processed efficiently and documentation is complete and accurate Keep employee files up to date in line with GDPR and internal requirements Assist with scheduling meetings related to employee changes, and support production of any associated documentation Communication and Information Management Write and co-ordinate internal communications for the on-site team, ensuring clarity and consistency Ensure information displayed on noticeboards and shared areas is current, relevant and well-presented Provide administrative support for HSQE documentation, audits and compliance activities Produce high-quality presentations and visual materials to support site and team communications Essential Skills and Experience Proven administrative experience in a fast-paced, operational setting Highly organised with strong attention to detail Ability to multi-task and manage competing priorities Strong written and verbal communication skills Advanced Microsoft Excel skills are essential including the ability to confidently create pivot tables, graphs, and data summaries with minimal guidance Excellent IT skills across Microsoft Word and PowerPoint Comfortable working independently and as part of a wider team Confident using data and able to spot and resolve errors Resilient and adaptable, with a proactive and solutions-focused approach A completer/finisher with great attention to detail and the confidence to bring clarity and coordination to a busy operational team.
