Role Overview
The Maintenance Department Coordinator supports the efficient day-to-day operation of the maintenance team. This role ensures planned and reactive maintenance tasks are scheduled, tracked, and completed in line with company policies, health and safety regulations, and service level agreements

Key Responsibilities
Coordination & Scheduling
1. Schedule planned preventative maintenance (PPM) works.
2. Log and allocate reactive maintenance requests.
3. Liaise with contractors, suppliers, and internal departments.
4. Track job progress and ensure timely completion.
5. Administering KPI ‘s and OEE & PPM initiatives
Administrative Support
6. Maintain accurate maintenance records and documentation.
7. Update computer-Aided Management software.
8. Raise purchase orders and process invoices.
9. Prepare reports for management.
Compliance & Health & Safety
10. Assist in ensuring compliance with UK regulations including:
11. Health & Safety at Work Act 1974
12. Fire safety regulations
13. Risk assessments and method statements (RAMS)
14. Maintain contractor compliance documentation.
15. Support audits and inspections.
Communication
16. Act as first point of contact for maintenance queries.
17. Provide updates to stakeholders on work progress.
18. Support team meetings and toolbox talks.
Essential
19. Strong organisational and time management skills
20. Good IT skills: -Microsoft Office – Word, Excel, Outlook
21. Excellent communication skills
22. Attention to detail
23. Ability to prioritise workload
Desirable
24. Previous experience in facilities or maintenance coordination
25. NVQ Level 2/3 in Business Administration or Facilities Management: -preferred but not essential

Salary & Benefits
30. Days 8-4.30pm – Monday-Friday
