Clinic Receptionist and Administration Officer

University Hospitals of Derby and Burton NHS Foundation Trust

The closing date is 05 April 2026

To provide a comprehensive Outpatient Administration and Main Reception service to the Ilkeston site. This will be to support University Hospitals of Derby and Burton and Derbyshire Community Health Services.

To provide a 7-day rostered service to the Community Diagnostic Centre which will include MRI, CT, Ultrasound and Point Of Care Testing.

To provide administrative support to the Health Records Department.

This involves working closely and communicating effectively with a Multidisciplinary teams using initiative, tact, and diplomacy.

We have an opportunity for 25.5 hour posts. This will be a 7am to 7pm service.

Flexibility will paramount to this role and for the right candidates we can offer full day shifts or split shifts.

You will be joining an already established team who have patient care and outcomes at the heart of everything they do.

We offer an excellent working package and free on site parking.

This role will require the successful candidate to occasionally work across our local community sites.

Main duties of the job

Work on own initiative to ensure the work allocated to the post holder is organised to ensure all deadlines are met, and standards are maintained.

To record data, using Lorenzo, SystmOne and the room booking software.

To record and update case note folder location details on the case note tracking system.

To prepare the contents of case notes in accordance with the case note maintenance policy and prepare items for scanning onto the Patient Administration System (PAS) ensuring information is coded in order to ensure that data can be identified and retrieved as and when required.

Provide a courteous and efficient reception service to all Patients attending the hospital, observing confidentiality, overcoming barriers of language and disability etc.

Make follow up appointments for outpatients using the PAS system, generating letters, and completing Outpatients Outcomes and Clinical Coding outcomes on the database as required for the Trust Data collection purposes.

Ensure the 18-week RTT (referral to treatment) end date is captured on PAS system so that the Trust meets the Government targets.

To provide a friendly, helpful, and professional reception service, duties to include cash handling and banking, receipt and distribution of incoming mail, franking and posting.

Qualifications

* Demonstrates a good standard of education in English (O Level, GCSE) (2)
* NVQ 2 in Customer Service or equivalent knowledge and skills


Skills

* Demonstrates experience making and receiving telephone calls and being a point of contact for customers/patients
* Evidence of standard level of IT literacy


Experience

* Evidence of an understanding of 18-week RTT process and knowledge of the Trust Patient Access Policy
* Evidence of understanding of the Data Protection Act and Caldicott principles
* Evidence of working independently and part of team
