We are looking for a Contract Administrator to join our Commercial Property Maintenance team in London.
What you'll do:
1. Keep our maintenance running like clockwork – You’ll oversee our computerised maintenance system, manage site assets, schedule planned preventative maintenance (PPMs), and make sure all tasks and paperwork are completed accurately and on time.
2. Coordinate work that keeps buildings safe and efficient – From planning jobs with building assistants to organising subcontractors for planned or reactive works, you’ll ensure everything is delivered smoothly. You’ll also support our helpdesk so issues are resolved quickly.
3. Build strong client relationships through clear reporting – You’ll maintain quote and cost logs, flag additional work opportunities, and produce reports that keep clients informed and confident in our service.
4. Support the financial heartbeat of the project – You’ll issue invoices, assist with debt control, verify costs, and help prepare financial reports—making sure everything adds up and supports our commitment to transparency.
5. Manage procurement and keep operations organised – From ordering PPE to tracking materials and subcontractor paperwork, you’ll keep the essentials flowing so the team can focus on delivering great work.
What you'll bring to the role:
6. Strong organisational skills, with the ability to prioritise workloads and perform effectively under pressure.
7. Proficient computer skills, particularly in Word, Excel, and experience using PPM systems.
8. Excellent communication abilities, both written and verbal.
9. Confident in engaging with clients, managers, engineers, and subcontractors, handling interactions professionally and confidentially.
10. Outstanding customer‑facing skills, delivering a positive and professional service experience.
