WillingtonSurgery is seeking an experienced and highly organised Medical Secretary to join our busy and friendly GP practice.
Thesuccessful candidate will support the clinical team by providing a comprehensive, efficient, and accurate secretarial and administrative service. This includes managing and chasing patient referrals, handling clinical correspondence, and supporting patients throughout their referral journey.
Previous experience in a medical secretarial or healthcare administrative role is desirable or primary care experience as a minimum.
Main duties of the job
* Process patient referrals using the NHS e-Referral Service (ERS) and other referral pathways
* Transcribe and prepare clinical correspondence from SystmOne
* Manage referral worklists, including rejected referrals/Advice and Guidance and patient follow-up
* Liaise with hospitals, consultants, and community services
* Respond to patient queries regarding referrals and appointments
* Assist patients with booking or amending hospital appointments
* Prioritise urgent referrals and ensure timely processing
* Handle incoming calls and emails from internal and external stakeholders relevant to your role
* Support meeting administration, including minute-taking and distribution
* Process private work and third-party reports
* Maintain accurate records and ensure all tasks are completed within agreed timescales

* Excellent organisational and time management skills
* Strong attention to detail and accuracy
* Good IT skills and ability to learn new systems
* Excellent communication skills (verbal and written)
* Ability to prioritise workload and work under pressure
* Experience working in a GP practice or primary care setting
* Knowledge of NHS referral systems (e.g. ERS / Choose and Book)
* Experience using clinical system SystmOne
