Senior Personal Assistant needed in Preston, £18.26ph PAYE – Reference: 5266836
The role of an Executive Director Senior Personal Assistant involves working within the Senior Leadership Team to provide a confidential, effective, and efficient service to the Executive Directors. The role requires handling complex, sensitive, and confidential issues with a high level of initiative, including pre-planning work, scheduling diary appointments, and prioritising mailboxes. Excellent communication skills are essential for interacting with internal and external stakeholders.
The key responsibilities include:
1. Providing day-to-day leadership and direction to the Director Personal Assistants and/or the Business Support Team to meet team objectives.
2. Acting as the first point of contact for correspondence and phone calls.
3. Managing and coordinating the diaries of the Executive Directors, including arranging meetings and preparing briefing papers.
4. Planning and organising travel and accommodation arrangements.
5. Maintaining effective filing and data storage systems.
6. Providing full personal assistant support, including drafting letters, minute-taking, and administrative tasks.
7. Coordinating SLT meetings and other key meetings, including agenda planning and minute-taking.
8. Arranging meetings involving external partners, including invitations and liaising with venues.
9. Understanding the hierarchy and protocols relevant to the Executive Director’s role.
10. Keeping up-to-date with relevant policies and legislation.
11. Communicating with other agencies and service providers to share information and build relationships.
12. Supervising and performance-managing the Director Personal Assistants and Business Support Officers.
13. Delegating tasks and managing workloads within the team.
14. Overseeing systems and processes, providing guidance on handling difficult situations, and escalating issues when necessary.
15. Ensuring the VIP function operates smoothly and follows procedures.
16. Undertaking lower graded roles as required, adapting to the changing business needs.
This is a full-time role on a temporary contract basis.
