Auchinairn Medical Practice welcomes applications for the role of Patient Services Administrator.
We are a busy, forward-thinking practice, situated in Bishopbriggs, Glasgow. We have a current patient list size of approximately 7000, and provide an extended range of clinical services and care to our local population. The practice team consists of 4xGP Partners, 2x Salaried GPs, 1x Practice Nurse, 1x Health Care Assistant and an administration team of 7. We also receive support from the wider multi-disciplinary team by having Pharmacists work with us from NHS Greater Glasgow & Clyde, as well as Advanced Nurse Practitioner cover and Physiotherapy cover. As a training practice, we are proud to mentor trainee GPs and Medical Students throughout the year.
We are looking for a hard-working, organised, enthusiastic individual to join the team in assisting us in delivering administrative support to the clinical team and our patients. We are seeking a candidate for the following hours:
30 hours per week: Tuesday- Friday, 9am-5pm
In return, we offer excellent training and five weeks of paid leave and 10 public holiday leave days (pro-rata).
The role includes a variety of administrative tasks, including supporting the effective delivery of patient care by coordinating annual reviews for patients with chronic diseases such as Diabetes and Hypertension, maintaining accurate clinical records through clinical coding, and managing patient registrations and data processes. The role ensures patients are appropriately recalled, records are up to date and administrative systems run efficiently.
Key Responsibilities:
1. Proactively identify and contact patients with long-term conditions (e.g. diabetes, asthma, hypertension) to arrange annual reviews and routine check-ups
2. Manage and maintain chronic disease recall systems to ensure patients are invited in line with clinical guidelines
3. Accurately code clinical information into patient records using the appropriate coding system
4. Process new patient registrations, deductions, and transfers of medical records (including imports and exports via GP systems such as EMIS or Vision)
5. Ensure patient data is accurate, up to date, and handled in accordance with GDPR and confidentiality policies
6. Support clinicians and the wider practice team by preparing patient lists and ensuring records are complete for reviews and audits
7. Monitor and action incoming clinical correspondence where appropriate, ensuring correct coding and filing
8. Work collaboratively with reception, administrative, and clinical staff to support smooth patient pathways
9. Maintain an organised and efficient administrative system to support practice operations
We seek someone with excellent problem solving, communication and customer service skills, proficient IT and computer skills, and someone who has the ability to work as part of a team. This role would be suited to someone who currently works within a GP practice and is wishing to enhance their skills and experience, however we will provide full on-site training for our preferred candidate.
