Head of Student Records (Data Services & Compliance)

Location: Sunderland

Salary: £43,396 to £48,836 per annum

Post Type: Full Time

Contract Type: Permanent

Role Overview

The Head of Student Records leads the College’s Student Records and Enrolment Validation processes, ensuring accuracy, integrity and compliance of learner data across all provision. This role manages two student record teams, oversees enrolment validation, ILR checks and statutory returns, and drives innovation and improvement of data systems and processes.


Responsibilities

* Accountable for robust enrolment validation, termly ILR checks, completion of student records and reconciliation of learner data in line with funding rules, audit requirements and College policies.
* Ensure student data supports the learner journey, funding compliance and high‑quality student experience, enabling accurate and timely statutory returns to funding bodies.
* Lead and manage two Student Record teams: Apprenticeships, Adult and Higher Education; Full time 16‑19 Provision.
* Modernise timetabling and student data processes through digital technologies and improved systems.
* Champion data accuracy, efficient processes and collaboration across teams to create smarter ways of working.


Qualifications

* Degree level or equivalent qualifications and experience.
* Level 4 Management qualification (or willingness to work towards within 2 years).
* GCSE Maths and English Grade A*–C (or equivalent).


Essential Skills & Experience

* Proven experience of leading and managing teams to deliver high‑quality services, performance improvement and organisational priorities.
* Significant experience managing student records, enrolment in MIS functions within an FE or skills environment.
* Experience developing multi‑disciplinary teams, including performance management.
* Experience ensuring completion of student records and learner evidence to audit standards.


Desirable Skills & Experience (Optional)

* Knowledge of ILR specifications, requirements and returns.
* Strong analytical skills to manage multiple deadlines and statutory returns.
* Experience with systems such as ProSolution, ProAchieve, ProMonitor, 4Cast or similar MIS.
