Job title and structure
Job title: Venue and Event Consultant (Maternity Cover)
Reporting to: Director
Hours: 37 hours per week
Salary: Remuneration - Competitive, dependent on experience
Maternity Cover: with the view to extend
Location: Hybrid working – remote and office-based 2 days per week (can be reviewed)
Key responsibilities
* Enhance the customer experience and journey by assisting with all enquiries, event projects, client support, admin, inputting information into systems, and communicating with venues and clients on behalf of the company.
* Utilise own knowledge, research and internal system (Gratis) to assist with Venue Finding enquiries.
* Input enquiries into internal system when they come through and update notes.
* Support with making calls to venues and obtaining relevant information required for briefs and updating proposals.
* Arrange site visits with venues and manage diary and communication for this process.
* Manage day-to-day correspondence with clients for their enquiries and build relationships.
* Prepare proposals for meetings for clients.
* Liaise with Director and clients accordingly with updates on enquiries.
* Assist with event management projects from supplier liaison, budget planning, proposal creation and administration.
* Attend via Zoom or in person educational sessions with venue/groups to expand knowledge.
* Request client final invoices for reconciliation post-event within the system.
* Assist with social media content and posts with guidance from Director (including venue updates, blogs, videos, etc.).
This list is not exhaustive, and you may be required to undertake other duties as directed by your manager. Full training and support will be given, including system training.
Essential experience and skills
* Full knowledge of Microsoft Office including Word, Excel, Outlook and PowerPoint.
* Administration experience.
* Excellent verbal and written communication skills.
* Professional phone manner.
* Proven organisational skills.
* Excellent attention to detail.
* A positive outlook, always looking for solutions.
* Self-motivated with the ability to work on own initiative.
* Confident to research new business.
Desired experience
* Hospitality, venue sourcing or event background.
