Responsibilities
:
1. Supporting MDs and their teams of 20+ people
2. Maintaining detailed calendars and prioriti s ing meeting requests
3. Providing legal spend management support and proactively managing legal billing for the teams
4. Allocate team members to Engagement Letters and NDAs from bankers, coordinate NDA reviews with vendors, and maintain records in Excel and internal databases
5. Book travel arrangements (cars, international flights, amodation and visas)
6. Expense management, ensuring expenses are processed in a timely fashion
7. Coordinating internal meetings with senior leaders and high-level stakeholders at the firm and forming good relationships with Executive Admins throughout the firm
8. Implementing divisional policies and providing guidance to their teams
9. Maintaining a strong understanding of firm policies to allow handling of certain issues independently
10. Responsible for participating in general administrative duties and taking on ad-hoc requests as required
Skills:
11. 3+ years of Admin Assistant experience
12. Requires excellent interpersonal andmunication skills
13. Strong proficiency in MS Word, Excel, PowerPoint and Outlook
14. Strong organi s ational skills, coupled with great attention to detail
15. Ability to solve problems quickly and efficiently
16. Self-starter with excellent anticipation skills; problem solving; follow up and judgment
17. fortable working with people at all organizational levels
18. Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment
19. Must be able to prioritize a variety of time-sensitive tasks
20. Team player with a positive attitude
21. Highest degree of integrity, professionalism, diplomacy and discretion required with the ability to handle highly sensitive, confidential information with a high degree of integrity and confidentiality
