Role Purpose
The Recruitment Administrator provides efficient, accurate and proactive administrative support to the Talent Acquisition function. This role ensures recruitment processes run smoothly from job posting through to onboarding, maintaining high standards of compliance, candidate experience and data accuracy.
You will play a key role in supporting hiring managers, coordinating interviews, managing documentation and ensuring all safer recruitment and regulatory requirements are met.
Key Responsibilities
1. Job Posting & Attraction
* Draft and post job adverts across job boards, websites and social media platforms
* Ensure adverts are accurate, engaging and aligned to brand guidelines
* Manage advert renewals and closing dates
* Monitor application volumes and flag low-response campaigns
* Support recruitment campaigns, careers events and talent pooling activity
2. Recruitment Coordination
* Screen applications against basic criteria where required
* Arrange interviews, assessment centres and panel meetings
* Prepare interview packs and candidate documentation
* Liaise with candidates to confirm interview logistics
* Maintain accurate recruitment trackers and ATS updates
* Provide timely communication and feedback to candidates
3. Compliance & Safer Recruitment
* Conduct pre-employment checks including:
* Right to Work verification
* DBS checks
* Reference requests and verification
* Qualification checks
* Ensure all documentation meets regulatory and organisational standards
* Maintain secure and compliant candidate records
* Monitor compliance trackers to ensure no checks are outstanding
* Support audit preparation and reporting
4. Offer & Onboarding Administration
* Prepare offer letters and contracts (where required)
* Coordinate onboarding documentation
* Ensure payroll and HR systems are updated accurately
* Support new starter processes and induction scheduling
5. Data & Reporting
* Maintain recruitment dashboards and trackers
* Produce weekly recruitment reports
* Monitor time-to-hire, vacancy status and compliance metrics
* Ensure data accuracy across HRIS/ATS systems
6. Stakeholder Support
* Act as a first point of contact for recruitment queries
* Support hiring managers with process guidance
* Work collaboratively with HR, payroll and compliance teams
* Contribute to continuous improvement of recruitment processes
Person SpecificationEssential
* Previous administrative experience (HR or recruitment desirable)
* Strong organisational skills and attention to detail
* Experience working with databases or HR/ATS systems
* Ability to manage multiple vacancies simultaneously
* Strong written and verbal communication skills
* High level of confidentiality and professionalism

* Experience in education or regulated environments
