The Role
As a Recruitment and HR Administrative Support, you’ll work closely with our Recruitment Specialist to deliver an exceptional candidate experience while keeping the recruitment process running smoothly. You will be responsible for contacting applicants to arrange interviews, ensuring timely and professional communication, and using your natural people instincts to spot candidates who align with the positive, enthusiastic, and productive outlook that defines every team member.
You'll also liaise directly with hiring managers to understand their availability, preferred interview formats (such as in-person or via Microsoft Teams), interview durations, and any specific requirements they may have. Your attention to detail and ability to coordinate moving parts will be crucial in delivering a seamless process.
When recruitment scheduling allows, you’ll also support the wider HR team with general administrative duties. This role offers a fantastic opportunity to gain insight into both recruitment and HR, providing a strong foundation for those looking to develop a career in people-focused roles.
Key Responsibilities
Call and email candidates to arrange interviews in a friendly and professional manner
Liaise with hiring managers to confirm availability, format (e.g., Microsoft Teams or in-person), and interview duration
Send out accurate interview invitations and maintain clear communication with candidates
Update the applicant tracking system and internal records
Use good judgment to assess whether candidates seem to reflect the positivity and enthusiasm that defines us as a company
Assist with new starter onboarding admin as needed
Provide general administrative support to the HR team (e.g., document preparation, filing, scanning)
Minimum of 2 years’ administrative experience, including confident use of IT systems such as Microsoft Office (Outlook, Word, Excel), email, and data entry tools.
A minimum of National 5 qualification in English
Interest in developing a career or gaining insight within HR or recruitment.
Excellent communication skills, both verbal and written, with a natural ability to engage warmly and confidently with people over the phone.
Confident using data systems to manage and update information accurately.
Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.
Positive, proactive attitude with strong attention to detail.
Discretion when handling sensitive or confidential information.
Training will be provided on internal systems applicant tracking software
Willingness to learn
Experience updating job platforms (e.g., Indeed for Employers).
Experience using applicant tracking systems (ATS).
Previous recruitment or HR administrative experience.
