Legal Secretary
Location : Bank
Owen Reed is looking to recruit a Legal Secretary to support a law firm in London.
Your main role is to provide general secretarial support. This includes, but is not limited to:
• Working for up to six fee earners on a daily basis with additional fee earners visiting on a
regular basis on a mix of workplace law (including employment, immigration, corporate and
pensions work).
Working Days and Hours: Monday to Friday 9.30am to 5.30pm
(occasionally there will be a need to provide cover 9am-5pm or 10am-6pm)
Location: London
• Supporting fee earners with monthly billing (producing and amending billing guides,
transferring time as required, creating invoices).
• Liaising regularly with fee earners and ensure regular upkeep of their files throughout the
lifetime of the matter.
• General typing – audio (limited) and copy typing (letters, emails, attendance notes etc.)
• Typing of legal documents including, but not limited to, ET1 and ET3 forms, visa applications.
• Opening new client files, sending out new engagement forms and dealing with Money
Laundering Regulations.
• Answering and dealing with incoming calls, assisting the reception team with overflow calls
when required.
• Liaising with clients, obtaining documents from them and booking appointments.
• Arranging and preparing for Settlement Agreement appointments.
• Booking couriers, taxis etc.
• Diary management.
• General administrative duties such as, photocopying, filing and in particular ensuring
electronic filing is kept up to date.
• Greeting clients.
• Organising refreshments for team lunches and client meetings.
• Assisting with general office upkeep.
Role Requirements
• Excellent attention to detail.
• Excellent organisational and prioritisation skills, including diary management.
• Being able to work independently and part of a team.
• Ability to multi-task and manage sensitive documents
• A flexible, ‘can and will do’ attitude with a desire to learn and grow.
• Being proactive especially in anticipating potential issues.
• Strong oral and written communication skills, in particular being able communicate clearly
and in a professional manner.
• Ability to multi-task and manage sensitive documents

• Ability to work in a fast paced environment and manage a busy workload.
• Being able to manage client and colleague expectations effectively, including when issues
arise.
• Confident user of Microsoft Office products and other common software/applications.
• Minimum of six months’ prior experience in a secretarial or similar role.
